All members are encouraged to share any issues or ideas through the chain of command and with XC/XI at ANYTIME! The leaders of Xiled Gaming believe in the open-door policy in order to encourage openness and transparency with all members of the community.

Generals

Meeting Notes

When running your clan meeting, you should not be reading the meeting notes word for word exactly as they are written. Make sure you are saying them in a way that gets the main meaning of the note across while encouraging discussion and questions. Everyone can pull up the notes and read them, the reason we hold meetings is because text can never truly convey the meaning as well as them being said verbally and heard. Do not "speed through" the notes to get your meeting done quickly as that defeats the purpose of even doing the meeting.

Clan meeting notes should cover anything that is pertinent to all members, so notes that only apply to Generals or leadership shouldn't be passed down for all members to hear during your clan meeting. Make sure you are bringing up clan specific items during clan meetings that aren't a part of the community wide notes, such as upcoming squad splits, clan splits, clan game nights, recruiting goals and promotions and anything else you feel everyone in the clan should know about. Your clan meeting is a place to keep people up to date with anything happening in the clan and to give them a place to ask questions, voice their opinions or concerns, and network with the people in the clan.

Additionally, if you or your General are unable to make it to Sunday's meeting,
you are responsible
for reading the notes as soon as possible and knowing what was meant by them. If you or your Generals have questions about the notes, hit up any XD.

New Member Registration

When a new recruit is registering on the website for the first time, it is very important that they are using the the same spelling on the website as their Xbox Live gamertag. If they register with a different name, please have them submit a Login Name Request on the Help Desk to ensure the clan list and usergroup are matching. Do NOT have them register again with the correct username, as we don't want anyone to have more than one account on the website.

If a member creates a duplicate account, please hit up an admin so the two accounts can be merged together into the correct username.

Be sure to check all add and remove requests to see if there were any issues or discrepancies found by the admin who handled the request, if a username is not found when trying to do an add request it will be denied and have to be resubmitted, causing more work for you and your Generals than is necessary.

Grass Wasn't Greener

We do not use the GWG to look for potential members, if someone is approved to come back through the GWG and wants to go into a specific clan that will be determined by the XD handling placement (for members who pay to come back). Anyone approved No Purchase can choose any clan they would like, if they don't know what clan they'd like to go to they can hit up any XD for assistance.

Leadership Attitude

Make sure you as a leader, as well as the leadership in your clans, have a positive attitude and are representing the community in a positive manner, whether it be in a party, Xbox messages, or Discord. If someone isn't in a good state of mind to be handling issues or to be in a party full of members, be sure they take a step back and remove themself from the party until they can handle the situation rationally.

Playing To Win

As a community, we need to get back to playing to win. Learning game strategies and teaching them to new and current clan members will bring your clans/squads together and encourage communication, which is the key to success! Promotion Requirements

NO Promotion is just given for meeting the time requirements. Promotions must be earned by fulfilling all the responsibilities of each rank. Promotions are not asked for they are earned. Because you have been in your position for a long time doesn't not guarantee you a promotion. If you have completed these requirements please speak with a leader. If you are not maintaining the requirements of your position please understand you are hurting your clan, the community and your friends. If this happens you will be relieved of your leadership position. It isn't personal. We can't have inactive or ineffective leaders hold back what our members need.


Section Leaders

Chain of Command

We have a chain of command in place for a reason - if someone has an issue with their LT, they can go to their captain, an issue with their captain can go to their General, an issue with their General should go to their XS, and so on. If someone jumps the chain of command without even trying to reach out in the proper order, they will be referred back to the appropriate person.

If you as an XS are facing an issue with a member in your section, you should be keeping it within that correct chain of command and handling it. If it is an issue with a General and you need advice, you are welcome to hit up a fellow peer or an XD, but for issues with privates, sergeants, LTs and Captains, you should be able to handle those within the rank structure of that clan.

Honor Code

The Honor Code is 100% about our interaction in matchmaking. It governs how we play with fellow gamers. It in no way is how we treat each other in parties. Honor code violations happen in pre / post game lobbies. We treat each other based off of the “golden rule” which is to treat people how you want to be treated.

It is our responsibility as leaders to ensure that each member is a good fit for their current clan. When we, or more specifically them, determine they are better suited in a different clan we should be happy to help them find a better home. When members request transfers you need understand that maybe your clan is not the best home for that member. The problem could be that your clan is not as good as you want to think it is; or simply the member is moving away from your clan's primary game. Sadly, this is often not the case. We frequently see Generals and Section Leaders jumping to the conclusion that the member is being poached if they are asking to go to a different clan, section or division. This is best described as being petty. This causes drama between clans, divisions, leaders and members and has to stop. Your numbers are not more important than ensuring members are happy and involved.

Keeping members happy and involved is how you build and sustain your clan. If your clan is stagnant and members want to move or go inactive then take responsibility and fix yourself and/or your clans leadership. If you choose to just point the finger, your clan will fail and you will be the leader of nothing. That is, if we don't remove your rank before that - if you aren't fulfilling your rank responsibilities and aren't showing effort that is needed, you will not stay in it. It isn't person, it's strictly business and what is best for the clan, division and community.

Section Leaders, if you aren't 100% sure how to handle something with your clans please ask a XD. If you as Section Leader are doing simple things that your Generals or Captains should be doing, you're not teaching them anything...instead you should be walking them through how to handle said situation. You are in your position to guide and teach...handling things for them without letting them do it is hindering them as leaders and is counterproductive.

Generals

Leadership Training Classes

When Captains or Generals sign up for a class and aren't able to make it, please let them know that they should make the effort to message the teacher whenever possible to let them know. That way the class isn't held up and someone else could possibly take their spot who is able to attend. It is respectful to the teacher who is taking time out of their day to teach the class.

Clan Forum Moderation

One of your responsibilities as a section leader is to ensure that your clan forums are moderated correctly. If your General has moderator, you still need to double check that they are actually using it correctly and helping them if they have any questions. It ultimately falls on you to ensure this is done, if it isn't then you will be held accountable.

Being A Proactive Leader

Don’t wait for an issue to arise before you get involved with your clans or your members, by then it may be too late. There should be continuous training on the fundamentals of XG.

Proactively address issues - if one of your leaders is having issues in a particular area or they are lacking certain leadership skills, you should work with them on these issues and provide them the resources necessary to be an effective leader for their members. Don’t put off having the conversations with them until the only option is replacing them. Seek out help if you need it.

Goal Follow-Up

We are through the first month of 2020 - what progress have you made on the goals you set for you, your clan, and your leadership? Having conversations throughout each week about what is being done to move forward must happen with both your leadership and with your clan as a whole. If you aren't already spotting potential future leaders from amongst your sergeants, privates and recruits, you need to always be on the lookout for that.

Having discussions about what isn't working shouldn't be a negative conversation - if you continue to try to do the same thing and are unsuccessful every time, it's time to try something else. If you are having trouble coming up with new ideas, reach out to your peers, your XS, or using the open door policy before it gets to the point of no return in your clan. Use your resources!

Handling Issues

Training Conversations

When speaking to your members, remember that every conversation is a training opportunity. You should be teaching them and explaining things in a positive way. Don't "do it for them." They don't learn anything that way. And NEVER take their word at face value! Dig in and find out the real story. A lot of leaders get a bit apprehensive about admitting they need help. This is why it's important to ask questions to know where to focus your time and attention. If you as leaders don't ask, you can't help. Don't wait for them to come to you.

Xiled Gaming Clubs

Any clubs created on Xbox need to be approved by XC/XI to ensure they are representing the community in the best way. If you have an idea for a club, bring it up the chain of command before creating anything yourself.

As a reminder, we have the official Xiled Gaming Club on Xbox that is open to all members in all divisions, anyone who hasn't joined the club should send a request in to join and it will be handled by a club admin as soon as possible.

Xiled Gaming does not have any alliances with any other clans or communities!

Clan/Squad Lists

When you have changes with your Clan/Squad happening such as bringing in a new recruit, people being promoted or demoted, these changes impact your lists. You need to be sure to update your lists as they happen not a week later.

We understand you may not be able to get to it right that second, but it should not take more than a day to update these as they happen. Especially when it's a change in your leadership.

Ensure that you as General as well as your captain(s) are keeping their lists updated and follow up with them if they aren't - you should not be editing their lists for them except in very rare circumstances.

Generals

Being A Successful Clan

Daily clan activities, weekly clan and squad meetings and leadership meetings are just a few ingredients that create a successful clan. The main reason people join our community is to find people that they enjoying gaming and hanging out with on a regular basis so they never have to play alone, unless they want to.

When talking to your members and leadership, ask them what they enjoy about the clan and if they have any ideas for making the clan better and more fun - sometimes people have these ideas but never bring them up unless asked specifically. If your clan members are happy they are a lot less likely to want to leave or fall victim to poaching from other communities.

If you ever need help/ideas/suggestions, use your chain of command or the open door policy. We can't read minds, and while we try to check in with as many people as possible, we never want you to feel that you can't reach out. Even if it's just to share something good that happened in your clan that week, we love to hear it.

Recruiting

When recruiting members, make sure you research them fully. Some who have left or been removed can easily change their gamer tags to sneak back in without filling out a GWG application. If you notice something that seems questionable, ask your XS or XD for further assistance in the research. This way we can keep the negative out of our clans and the community.

If someone mentions that they were in another division previously, that's also an indication that they may need a GWG application.

When someone posts a GWG application and you have further information regarding that person, do not post in the thread. Only XS and higher are allowed to post on GWG applications. Be sure to let your leadership know if you have further information on an application.

Future Tournaments

We are open to ideas for future tournaments via Clan Compete. If there is something that you’d like to see, communicate it with your leadership. Be on the look out for a poll on the XG discord to vote on which tournament will be held next!

Reminder that clan and squad lists are due today. If they haven't been done, please ensure they are getting done. Follow up with your Captains to see if they need assistance with their lists if they are having trouble.

XG Communication

Any communication sent by any means other than Xbox Live, the Xbox App, the Xiled Gaming Club, the Xiled Gaming Website, or the Xiled Gaming Discord Server is not considered XG communication. This includes, but is not limited to Facebook groups, Instagram, Snapchat, Twitter, KiK, email, text, calls, mail, telepathy, Morse Code, smoke signals or courier pigeons.

Xiled Gaming does not allow any other personally ran communicating on these external outlets due to them not being moderated in the best interest of XG and the privacy of its members. If you use choose to create and use Non-XG Communication you will be removed from the community. Any issue that arises in the community from Non-XG communication will be addressed accordingly.

Generals

Add Requests

When putting requests in the help desk, PLEASE make sure to verify the correct spelling is being used for the member's registered name. Usernames should match their Xbox Live Gamertag, no exceptions. We have been getting a lot of requests with names that aren't spelled correctly, or that aren't found, which will result in your request being denied and needing to be resubmitted. You can search to make sure new recruits are registered by using the advanced search feature and typing their gamertag into the "Members" box. If you do not know how to do this, please ask your leadership who will be happy to show you how.

Clan Meetings

Weekly clan meetings are MANDATORY no exceptions. If you're experiencing low attendance consistently it's your responsibility as the General over your clan to communicate that as an issue to your Section Leader to discuss solutions for the problem. As leaders we should look at what we can improve on to boost the attendance rather than not hosting meeting for weeks, that's unacceptable. Every clan isn't perfect so there should be something that can be talked about to better our members experience here in the community.

Clan & Squad Activity

When interacting with your clans and members, you should be noticing things such as how many people are partied up and gaming with each other, if they are actually online on a consistent basis, and whether or not they are actively participating with clan and squad meetings as well as in game. Leaving members on a clan or squad list that are not active will come back to bite you later on, especially when considering things such as squad splits and clan splits. Knowing when members are available to play and attend meetings should be something that you and your leadership are always thinking about so you can tell when something is off.

Generals

Other Community Websites

Members of XG do not need to create profiles on any other community's website with the intent of finding out information about what they are doing. Your time should be spent focusing on your responsibilities as a General and on helping your clan, both by building and training your leadership, and letting the people who chose to leave do the same.

If they decide to return to XG later, let them use the GWG as that is why it is there.

Attitude When Online

When you get online, you should be having a positive attitude, especially in parties with your leadership and clan members. We all get online to game and have fun, and you are an example of that to any members you come in contact with. When you have to step away and handle issues or sensitive matters, if you need a few minutes to compose yourself before you head right back into a party, make sure you take them and decompress. Ask for help if you're feeling like you never get to have any fun when you're online because that should never be the case.

Additionally, when handling any sensitive clan business, make sure you are keeping the people who are in the party limited to your leadership or anyone involved in the situation. Bringing issues up in front of your lower-ranking members should never be happening, especially if it's going to make them want to leave the community as a result. If they're in the community to just have fun and game, be considerate of that and let them do exactly that.

Teaching the Honor Code

When reading the Honor Code to a new recruit, you must read the entirety of it verbatim. New members who come into Xiled Gaming are not aware of our rules and guidelines, so therefore any questions that they have should be answered accordingly so they understand. Under no circumstances do we summarize the Honor Code. Ensure that you know this and anybody who reads new recruits in from your clan, leadership or otherwise..

When you do your clan meeting, you should be reading any of these notes that apply to your clan members, and also adding anything that is specifically going on in your clan. Updates on goals, upcoming clan or squad splits, what the game nights for the clan and squad(s) are for the week, and anything else relevant.

You must post your clan meeting notes and attendance in your clan forum each week, or if you aren't able to run your clan meeting, one of your captains should be doing that task as part of their training.

All recruits must be introduced to their squad members and get to know them for the first seven days in the squad. Recruits must be put into squads with members who play similar games and on similar consoles. If a member of a squad switches games or consoles they must be transferred to a different squad or clan if necessary. These transfers will be approved by your section leader.

All recruits must be voted in by the Captain/members of their squad after the seven day trial period.

Generals

Discord Servers

As a reminder, no private Discord servers are allowed for XG business. We have the XG Discord which is open to anyone in all three divisions and has game boards, a bs chat, meme chat, and much more! Each division has their own server as well that contains clan chats, section chats, as well as a division wide chat. Please be sure to utilize your division server and clan chats for any specific clan discussions.

Anybody found to have servers for their own private XG discussions will be removed, no exceptions.

This does not apply to being in non-XG Discord servers, such as Pokecord Discord Servers, Streamer specific servers, Call of Duty servers, etc. If you haven't done so already, start moving from having your clan chat over Xbox messaging to Discord. There are channels for clan announcements, as well as a chat for leadership only (LT and up) as well as a general chat box and voice chat channel that only members of that specific clan will be able to see. If members need help installing or learning how to use Discord, please assist them. If you need help yourself, hit up your chain of command or use the open door policy.

Weekly Clan Meeting

Generals, you are required to hold a clan meeting once per week. Clan Meeting Notes and Attendance must be posted in your clan forum. Your meeting does not have to be on a Sunday, it should be on the day and time that works for the most amount of people in your clan.

Notes should never be a copy and paste of the General's Meeting Notes - you or the leader you have running the meeting needs to pass on the information that applies and add clan specific notes about what's happening within the clan. This can include upcoming squad splits, clan splits, new recruits and promotions, and anything else that you want to be addressed.

The Importance of Recruiting

This past Thursday, the leaders of XG hosted a Round Table discussion on recruiting and what it means for the community and your clan, as well as ideas and tips on how to recruit. People will leave or go inactive over time for many different reasons, so recruiting is needed in order to keep the clan moving forward and not going stagnant or declining. When recruiting, we always stress quality over quantity - but going through a quantity of people is the only way to find those quality gamers who are going to uphold the honor code and core values of XG. Making sure that not just you and your leadership understand the type of people you want to bring into your clan, but all members in the clan do too.

If you find a recruit that isn't fitting in with your clan, but you feel could still be a good fit in another clan or even another division, help find them a home elsewhere - if you need help, use your chain of command to get them in touch with another clan and find the right place for them.

Usergroup Add Requests / Registration

When add requests are submitted on the help desk, you and your General need to ensure that the member has registered on the website by using the Advanced Search function. Type the name into the Members box to make sure it pulls up.

Make sure you are checking your clan lists versus the usergroups as well and keeping up on this throughout the month as add and removal requests are put in on the Help Desk. If members are making it up to the rank of private and they are not in the usergroup, it needs to be addressed immediately. Make sure members are registering with the same name on the website as it is on Xbox.

Summer Time / Inactivity

With the summer months approaching, this should be a good time to find some new members who have more time on their hands. Make sure we are looking to find the next quality members for XG.

This is a great time to make sure that your clan list and usergroup is up to date. Also, make sure that your members are communicating when they will be inactive due to trips, vacations, or any other life circumstances.

Training Future Leadership

When looking at members for potential future leadership, make sure you have prepared them to the best of your ability before their promotion. Knowing the basics of the community and what needs to be done to meet the goals and expectations of their rank will ensure the transition is smooth for them and they will step into the role with confidence. No matter how long someone has been a leader, there will always be more to learn - just because someone has been in their rank for a long amount of time doesn't mean that someone else couldn't be promoted first, if they are showing more potential and accomplishing goals that are set, they should be recognized accordingly.

Captain's Usergroup Requests

Please make sure that when a captain is no longer in that rank, you are removing them out of the Captain's usergroup. Also, if someone has been promoted to Captain, they need to be added into the usergroup in order to get the banner underneath their name on the website that says Captain.     Clan Activity

    As a General, you are expected to spend time with all members of your clan. If you are only playing with a select number of people in your clan, it's important that you recognize that and make sure you are trying to touch base with all members weekly to make sure they are good. Gaming or even just spending time with members in parties will help you to see who the potential future leaders are for your clan and give you an idea of what they need to work on in order to get to that next step.

    Setting Up for Success

    As General, it is your responsibility to make your clan successful, with the help of your XS. First, make sure that you and your leadership understand all ranks and the responsibilities of each one, as well as what is expected to meet those requirements. Then you need to make sure you take your General's classes, fulfill your responsibilities, while guiding and teaching your members and leadership.

    If you see that your clan is struggling with activity, reach out for help if you aren't sure how to fix it. Set realistic goals that will help your clan move forward, and make sure you are holding weekly meetings as well as clan and squad game nights or activities to keep everyone involved. Being proactive instead of reactive will make your clan stronger and less likely to start going down that slippery slope of inactivity and dying.

    Complacency & Time

    Remember we should always be striving to better ourselves, our clan and our community. The day we grow complacent, is the day we start to move backwards. Keep going forwards! Time is limited, so choose what you want to do with it. Do you want to sit around and do nothing? Or make the decisions that will make you happy and ensure a better future for you, the clan and the community? Your destiny is in your hands.

    Ask yourself and your leadership to think about this whenever they are on the Xbox: what can I do to make Xiled Gaming better than yesterday? If that means just talking to someone and getting them more invested in the community then that helps. The more invested a member is the more they will want to put in.

Leaders instill in their people a hope for success and a belief in themselves. Positive leaders empower people to accomplish their goals.
Generals

Transfer Process

Members who are wanting to transfer to a new clan must first go to their current General, not to the General or XS of the clan where they wish to transfer to. If someone comes to you for a transfer who is not currently in your clan, please direct them to their current leadership. No transfer can take place without the member reaching out to their current leadership first! If a transfer doesn't involve your clan, please do not take any steps to complete that transfer such as reaching out to the General or XS of that member, it should be the member having the conversation, not you.

Also, any transfer requests should be processed within 72 hours - if you are having any trouble getting in contact with the people you need to get ahold of, please hit up your chain of command or use the open door policy to assist with the transfer being completed in a timely manner.

Remember that we do not transfer problem children - if they are causing issues within your clan, we don't want another clan having to deal with the same issues. If someone just doesn't quite fit in with the current squad and clan, and they've found another clan where they get along with the members better, that's a perfect reason to transfer out.

Modern Warfare Regiments

Regiments for Modern Warfare are allowed - they are the same as any in-game clan within specific games. It is recommended that only leadership is in charge of the in-game regiment, if you have further questions about in-game clans please ask your chain of command or utilize the open door policy.

Holding Yourself and Leadership Accountable

As a leader in XG, you are responsible for holding yourself to the standard of your rank, as well as your Captains and LTs within your clan. When someone isn't upholding their rank responsibilities, have an honest conversation with them about what's going on and if they need more training, clarification on their responsibilities, or advice on making their squad the best it can be.

Take time to speak with everyone in your clan to learn about what their goals are within the community. That way, if someone is demoted, steps down, or leaves, you know who your next person up could be and you are prepared to move forward and keep the clan on a forward progression.

If you yourself need help understanding your responsibilities better, or just want some advice, use your peers or chain of command to ask those questions. Wanting to learn more will never be seen as a negative step to take, but rather shows that you acknowledge that you and all leaders always have room to grow and improve.

Why You Joined This Community

When you first joined the community, it was probably for many reasons - remind yourself of why you joined, and how you can continue to make other people feel that way and want to join as well. Hold your leaders to that standard so that your clans can continue to grow and be successful.

If someone is preventing that positive atmosphere from being shown to new or potential members, you need to hold them accountable and make the change(s) needed to keep people interested in joining and also to stay as members well into the future.

Professionalism / Attitude

When dealing with issues or just having conversations with your members, always maintain your professionalism and have a positive attitude. If you are unable to present yourself professionally, please remove yourself from the party until you are able to handle the situation calmly and in a professional manner. There is no excuse for handling issues emotionally, the only result that you can expect when you handle a situation emotionally is for the person(s) involved to respond emotionally. Ask for help if you aren't able to approach the situation logically and without emotions running rampant.

This also goes for your professionalism when dealing with your peers - you don't need to like somebody in order to act professionally and treat them with respect. Treat people the way you want to be treated and it will make for a better environment for you and everyone around you.

Team Effort

Everything we do within Xiled Gaming is a Team Effort, regardless of Rank or which squad, clan, section, or division you may be in. Our community is based on the Honor Code, Rank Structure, Rules & Guidelines and Team Work. We pull the rope together and we succeed or fail together, but we always do it as a group. No one person is bigger then the whole, no one loss is more important than all the fun we have together. Here are just a few things we have to do to be the best Community we can be:

*Recruiting: Building our community is everyone's responsibility, no one person can do this alone, make sure you are bringing in good like minded gamers to be a part of the environment you want to create within your clan, with this you will be helping us pull the rope. Just remember that we all are facilitators of fun!

*Training Recruits: It takes a whole clan to be open to new members, invite these potential members to games, welcome them, be a good example, show them the ropes, teach them about the community, and work with them so they can become a valued community member, as we grow its more important that we grow together.

*Clan & Squad Practices: Training together, learning the tactics or strategies for the clan games, getting to know each others playing styles, and learning from each other will prepare us for victory and help us learn from defeat.

*Clan Compete: As a team, everyone should put forth their own best effort in any in-game play, while maintaining the environment of good sportsmanship, regardless of if we win or lose, we always say good game!

*Meetings: Meetings are a great place to share ideas, celebrate successes, discuss any issues, offer feedback on how to improve our clan and squad environments, and vote on new recruits. Remember, we can't make things better without team work. Team Effort is what it is all about. More hands make lighter work!

*Communication: Exchanging thoughts and ideas with the intention of delivering information and goals. Communication is the key to success, not only within the community but also in both professional and personal scenarios. Successful leaders are those marked by their effective use of communication and understanding their followers.

No member gets left behind: ensue all gamers are involved with their squad and other clan members, make sure you and your leadership are reaching out to the ones who are not to find out why and if they can help get them more active and involved.

XG Honor Code: Three Values

All members of leadership should be working together and towards the same goals as a team - more hands make lighter work! Growth and development are the basic ingredients for success for all clans and squads within the community. Making sure that the squad and clan are playing the same game together as a team is very important, this helps in developing the environment you as a General want to create for your clan. When you think of your clan, decide what path you want your clan to take - are you casual gamers? Competitive? Establishing your identity as a clan will help to bring in like-minded people, who will gravitate to your clan and members much more than if you don't know what you want your clan to be. If potential members see how your clan is and like what it stands for, and you maintain your clan with that in mind, it will help you to succeed and grow. This will help your leaders grow and be successful in their current rank as well as prepare them for any potential promotions down the road. Remember, a fun environment is an environment that people want to be a part of. Xiled Gaming will always provide the best gaming environment for everyone if you keep this in mind. Xiled Gaming has an amazing future if we all chip in and do our parts. It's up to all of us to pull the rope together achieve greatness!!

Xiled Gaming is about 3 things:
1) Fair Play
2) Sportsmanship
3) Respect

These three values help us to hold high standards within Xiled Gaming, and are the reason why Xiled Gaming was first founded in 2006. While out in the wild searching for like-minded gamers that represent our values, we should always keep these three characteristics in mind, which is why we always stress quality over quantity. Never recruit simply for the sake of numbers, anybody who recruits should be looking for gamers who will uphold our Honor Code and treat others with respect. Instead of looking for recruits, look for new friends who you enjoy gaming with and hanging out with and you'll have greater success!

No Member Left Behind

Regardless of rank, all members within your clan should be continuously reaching out to other clan members, whether it's for gaming, just hopping in a party with them and chatting, and so on. Awareness of what games each member is playing is something you should always be aware of, with assistance from your captain(s) and lieutenant(s) as well. If a member changes games and doesn't have people within the clan to play with, ask the member if they would like a transfer to a different clan or squad that plays that game, so that they still have people to game with and aren't feeling left behind.

Communication is the key to success!!

For members who are trying new games out and don't want to go to another clan or squad, encourage them to bring in new members who also play - it's the perfect opportunity to have the clan branch out and gives members the opportunity to build a new squad and eventually even a new clan within their current clan. You and their leadership can show them the ropes and start training them as a leader through this. Sending messages to members that you haven't seen for a little while, whether it's on Xbox, Discord, or the website, to find out what's going on with them will help create a stronger community.

New Xbox Console Release 2020

The new Xbox Series S and Xbox Series X were announced last week and will be releasing on November 10th 2020. Please start asking members about whether or not they will be getting the new console, staying with the Xbox One, and what games they are planning on buying when they come out.

Reminder that clan and squad lists must be posted by 11:59pm EST tomorrow, 9/14/2020 - If a squad list isn't posted, you as General must post the squad list for the captain and follow up with them about why it wasn't completed. Section Leaders:

Clan Meetings

When the general's are holding their clan meetings they are supposed to go over the meeting notes that are reported down through the General meetings. We don't go through the meeting notes to just pick what we wanna talk about. These notes are for the whole community to go over. But at the same time the generals should be adding into the notes things like... upcoming game nights, clan goals, promotions, introduction of recruits, etc. This helps customize the notes to there clan but also gets the information to everyone.

Professionalism:

Remember while being a member of Xiled Gaming you are expected to uphold a professional gaming demeanor at all times. There is no reason to be yelling at other members, messaging in all caps or trash talking other members in the community. We are all here for the same reason, to have a group of people that we enjoy gaming with every day. Remember the golden rule: treat others how you want to be treated.

Importance of Section Updates:

Typically, your section updates should be done once a month. This should include a breakdown of the status of each clan, what they are working on, and a review of the goals of the leadership. If there are any upcoming major events, squad or clan splits, this should also be noted.

You should also be utilizing the section updates to document any issues that have come up in the clans since the last update. This also includes any time that you have to have conversations with leadership in the clan about performing their rank responsibilities. This is to provide a "paper trail" of the conversation, just in case the issue is not fixed and the situation gets worse and eventually leads to a demotion. For example, if you wind up demoting a general because they have not been holding clan meeting for two months, that should be noted in the section update at least once to show that you tried to work with them to fix the problem. There should be an edit of your section update that highlights the conversations that you held with the general discussing the issue and leading to the decision for demotion.

***Posting this type of info your section update does not take the place of posting in the Leader log. As always, if the situation requires a Leader log posting, post in that forum.

Generals, it is your responsibility to communicate to your Captains that they need to run the Clan meeting if you are unable to, and it is also your responsibility to run a Captain's squad meeting if they are unable to hold it as well. If you cannot make the weekly mandatory Generals meeting you must inform your Captains so that one of them may take your place to receive the notes for the week.

Generals


Community Wide Support

As leaders in the community, we are all responsible for getting to know all members, starting with when they are recruits and continuing on from there. Our members are looking to have fun, possibly compete in battles and to game, but as leaders we need to be there and listen to them as we might be all they have. Have patience and let ALL members know that your door is always open, whether its clan business or personal. COMMUNICATION is always the key to success and without that communication we would not be the leaders we are today.

Treat others how you would want to be treated, and remember that you never know what others might be going through in their life.

Transfers

As a reminder, transfer must be initiated by the member who is wishing to move, and they need to follow their chain of command in order to complete the transfer. Transfers go in this order: member to current General, who goes to their XS, then the XS needs to go to the XS of the incoming clan who goes to the General of the clan the member wishes to go to. From start to finish, the transfer process needs to be completed within 72 hours (3 days) of when the member requests the transfer. If a member wishes to transfer into your clan and you don't think they are a good fit, you are able to deny the incoming transfer. We do not deny outgoing transfers unless they are a problem child or we feel the transfer could harm the community.

When doing transfers, Generals still need to submit removal requests - the member should not leave the usergroup themselves as then there isn't a paper trail to look back on for research purposes.

Discord Usage

Remember that you as a General have the ability to assign roles to members when they join into your division Discord server - make sure you and leadership are getting the link out to new members and getting them assigned so all your members have access to the clan chat box and can communicate with their fellow clan members. Make sure you and your leadership are putting out clan news and announcements as needed, as well as using the leadership channel. Communication is the key to success!

Holding Leadership Accountable

As a General, you must hold your Captains and Lieutenants to their responsibilities as listed in the rank structure - making sure you are calling them out for what they are doing well and what they need to improve on. This includes making sure that your leaders are on top of holding squad meetings and game nights every week, and looking at their online activity - specifically on if they are playing with their squad members to ensure no member is left behind. This in turn is a part of your responsibilities as a General, to ensure your clan is developing and progressing as it should, instead of staying stagnant or declining. This means making sure that everyone is doing their jobs as detailed in the rank responsibilities and rank structure.

If someone is missing and not completing a couple of responsibilities, talk to them early - see what's causing them to complete some things and not others. If you head it off at the pass before it gets really bad, you more than often will be able to prevent your clan from going stagnant or eventually dying, but if you don't talk to them early you'll have a much bigger issue on your hands. Being proactive instead of reactive will make things easier on both you and the leadership within the clan.

That being said, when someone is having issues and not fulfilling those responsibilities, you have an obligation to talk to that leader and tell them - not just deciding after a few weeks that it isn't working, without trying to help them turn it around.

Upcoming Games and New Consoles

As a reminder, we brought this up about a month ago - the new Xbox Series X and Xbox Series S are due to release in just over a month on November 10th.
Over the next couple of weeks, we need you to get with your clan and members to find out who is getting new consoles, new games, and making sure you and your leaders are prepared for any changes ahead of time.

As always, if your clan needs to change what your primary games are, please let your Section Leader know so they can submit an Update Clan request through the Help Desk to help keep those games up to date for potential transfers, members returning through the GWG, etc.

Name Changes

When members want to change their name to add KoG, SYN, or XGC in the front, please make sure they are aware that they need to get approval before simply changing their name. Your Section Leader needs to approve the name and then the member should be changing it on the website prior to changing it on Xbox.

Two key things are checked prior to gamertags being approved by your Section Leader.
1. Clan Names - if someone is asking for a gamertag but it is the name of a clan in any of the three divisions, it cannot be approved.
2. Current Members - if someone currently has a gamertag that is the same, or similar, to someone who has been active within the last (3) years, the name cannot be approved. This can be checked through the website under "Members" as well as the regular search function. If you need help, ask before approving something to avoid multiple members having the same gamertag.

Poaching

Within Xiled Gaming, we have a specific definition when it comes to poaching.
If you feel poaching is happening or you experience it first hand, please deal with it immediately and ask for help if you need it.

1. Actively recruiting members of another community.
2. Targeting members of a specific clan to cause issues.
3. Offering promotions for recruitment into that said clan.

Decisions - Long & Short Term Effects

When you and your leaders make decisions, it's important to evaluate the short-term and long-term impact of those decisions. If you make a decision that will fix something short-term but will have a negative effect in the long-term, you need to decide if that's truly the right thing to do. Demoting someone who isn't fulfilling their responsibilities might have a short-term negative effect, but in the long-term it will be better for the clan because people won't see someone staying in a leadership rank who doesn't deserve to hold it which will have a long-term positive effect.

Effective Communication

As a General, you should be able to clearly explain and answer frequently asked questions. If you don't know the answer, let them know that you will look into it and find out instead of saying that you don't know outright. Make sure you remain calm and collected while being professional during those conversations. Make sure you know the facts before presenting the final answer, instead of answering incorrectly and having to correct it later.

Running a Successful Clan

For you as a General, there are a few key things that all successful clans need to do. If these aren't happening, it is your responsibility to get the clan back on track and doing these things. Please ask for help as needed whether it's your XS, or the open door policy to come to the XDs, XCs or XIs.

1. Holding Clan Meetings & Game Nights weekly
2. Running Squad Meetings & Game Nights weekly
3. Handling issues within 48 hours of them arising to ensure drama is not happening within clans - using peers for support to do so as needed.
4. Ask members for feedback constantly to see what they would like to be different within the clan, to try to always improve and not stay complacent.
5. Play with all members and ensure nobody is left behind.

The environment that you create within your clan is completely up to you and your leaders - create the type of clan that you want and bring in members who will add and make that environment better, and when necessary, remove or transfer people who are ruining the environment for others.

We do NOT tell people who they can play and be in parties with. All of our members pay for their own Xbox Live subscriptions, so it isn't right to tell them who they can play and talk to.
