Meeting Notes 11/19/23​

HAPPY THANKSGIVING FROM XILED GAMING

Section leaders:
You are in charge of overseeing the clans in your Section. This does not mean doing it for them. If Generals don't post there list, Section leaders it is your responsibility find out why. Only in extreme situations should the Section Leader be posting the Clan lists. This should be a very rare occurrence. If you have any questions, ask a Division Leader for guidance.

Generals you run your clan how you see fit within the guidelines set out in front of you. If your captains fail to post there list then it's your responsibility to post it for them. If we have captains ot willing to step up and do there requirements let's find ones that are eager and hungry to learn.

Section Leaders POA are being done division wide. Let's not suger coat any problems that we have in your clan. Let's make sure if there is something that needs attention that we let the XD team know. Don't be surprised if they ask for other leaders and or members to be invited to the party as well. Together from top to bottom working together to meet our goals.

Section Leaders: Let's make sure that we are posting our section updates. Let's make sure we are being honest as possible. This also helps not only the XD team but the XC team keep up with the progress of each clan.

XILED GAMING PROMOTION REQUIREMENTS:
NO Promotion is just given for meeting the time requirements. Promotions must be earned by fulfilling all the responsibilities of each rank. Promotions are not asked for; promotions are earned. Because you have been in your position for a long time does not guarantee you a promotion. If you have completed these requirements, please speak with a leader. If you are not maintaining the requirements of your position please understand you are hurting your clan, the community, and your friends. If this happens you will be relieved of your leadership position. It isn't personal. We can't have inactive or ineffective leaders hold back what our members need.

Information in Meetings
We all know that some of the information in meetings can be repeatitive. Some members of leadership have voiced their opinions on this matter. When you look at the reason for this information being the same sometimes, are we taking into account of why it's being repeated? Are there problems coming up in the community that surround the note in Sections, Clans/Squads? If so, this is why it is being repeated.

Generals and Captain Meetings
When you have your meetings, some meeting notes need to be gone over again. As an example, you could have just had a meeting going over the name change process. But then, a few days later, you get a new recruit into your clan/squad. This new member doesn't know this information. So, what do you need to do? Go over that information again so the new member/s know about the information. Try to find ways to incorporate the information into your meeting so it doesn't sound like the same thing. An example would be to explain it by doing a mock run with your members in the meeting and not just going over the words. Have them travel to the website and go over step by step what they need to do through the process.

There are a multitude of reasons why information is gone over repetitively. Don't be quick to think this is information that doesn't need to be gone over again.

Generals Meeting Notes 1/7/24​

Goals for 2024

It's the beginning of the year, now is a great time to reflect back on 2023 and what you accomplished. Now is the time to set goals for this year - keep them as S.M.A.R.T. goals and make sure your leaders do the same with your assistance.

S - Specific = Don't create a goal that is unclear or needs detailed explanation, it should be specific enough to be easily understood when talking about it.
M - Measurable = Determine how you will be able to tell if the goal is 25% complete, 50% complete, and so on. If the goal isn't met 100%, talk about why.
A - Achievable = Make a goal that is not unreasonable. For example, if you set a recruiting goal for 10 recruits in a week, but typically only bring in 1-2, that goal will most likely not be met. Start with something realistic, and if that goal is met easily, then increase it for the next time.
R - Relevant = Have the goal be something the squad or clan needs to work on. For example, if recruiting is slow and needs improvement, that would be a good goal. If recruiting is something that happens normally and isn't a struggle, a goal for leadership training and development would be better.
T - Time Bound = Set a time-frame for the goal to be achieved. Whether it's a short term or long term goal, having a "due date" helps keep people focused and working towards it.

Make sure that when you set a goal you are checking in on progress at least a couple of times a week, to help keep everyone focused and ensure it isn't forgotten. If the goal isn't met, discuss why - it shouldn't be a negative conversation, just a discussion about why it didn't happen and how to try to achieve it using a different strategy.

Showing Offline:
We all appear offline from time to time. This can be when we have company, spending time with loved ones, etc.. and generally we're not available so we don't want people to think we are when our Xbox is on for whatever reasons. This should not be used to hide from our members or leadership! You should NOT be appearing offline all of the time and expect people to message you if they need you.

Leadership should NOT appear offline all of the time and leave it to your clans to guess if you are online or note. Even clan members should not appear offline all of the time. Part of the reason people join the community is to socialize with members, and if everyone appears offline, the socializing will not happen. If you are online, you should appear online unless it's for a good reason. Do not abuse the appear online function!

GWG Reminder:
If a member leaves or is kicked out today and they want to return tomorrow, they need to post a GWG app immediately. There are no time frames to follow other than the fact that a researcher will not begin research on the app until 2 weeks have passed since separation from the community (Example: after 1, 2, 3 years, member no longer needs to fill an app. Not a thing!). Only if the member left for inactivity and it has been confirmed from the member’s last usergroup removal request on the help desk, then they are welcome to join back in without an application. If there are ever any doubts or inconsistencies you have come across, please ask an XD.

Clan Usergroup:
Does your user group and clan list match? One aspect of running a clan is ALWAY checking our lists, It is your responsibility to make sure that all of your members are joining the User Group. It is also your responsibility to get those same members removed from the User Group if they leave, get kicked or transfer out. As many already know, you need to post a request in the Help Desk to get members removed. If you need assistance, please contact your immediate leadership.

Section Leaders working with Events Team:
Starting in 2024 we are going to do something spectacular for the Community. This will take each one of you to help so here it is. Every Section Leader will have a clan in his/her section to host a game night with the Events Team for the community to join . The Events Team will help with spreading the word like putting it on Calendar, Spamming out on discord and etc... It does not have to be a General to host but anyone in that clan that would like to represent. Please get with SYN CHELL XD by PM or Xbox party! If that day is free on the Calendar then we can do it. Let's fill the Calendar up folks!!

Thanks to everyone that came out to celebrate XG’s birthday. 18 years is quite an accomplishment!!!

A special thanks to the members of the Events team that planned and coordinated the Birthday Bash. Thanks to their efforts, everyone was able to have a great time and meet new community members.

Meeting Notes 2/4/24

We are all gamers and we are all here to have fun, however, if you have elected to take on responsibility within your clan and throughout the community, you are held to honor and uphold those responsibilities at all times while in your role. If you need a break, communicate it! However, if you are not able to follow through on what you have volunteered to do, then speak with your leadership to determine the best course of action.​

Honor Code:
Xiled Gaming members will display a professional gaming demeanor at all times. Any match an Xiled Gaming member participates in should observe the rules of Fair Play, Sportsmanship, and Respect. As an Xiled Gaming member, you not only represent yourself but Xiled Gaming as a whole.

Usergroup Removal Requests:

For User Group Removal requests, please make sure you are being detailed in your request. The GWG team and leaders need to be able to look back and see why a member was removed. If you think that a leader log should be written, then a leader log should be written. If you have any questions on what qualifies for an issue to be added to the leader log, contact your Division Leader.

Meeting Notes:

When passing along leader meeting notes to your clans as a General, make sure that you do not copy and paste all the notes and only include notes that are relevant to your clan. Be innovative and proactive to come up with 2-3 topics that will engage the clan and make them want to continue to make every meeting.

Leadership Ideas:

When having a game night, event, or other type clan activity, a good leader should try to get the majority of the clan's leadership, or possible leadership, involved with the process of getting the idea from thought to final product. This is a great way to teach leadership skills to up and coming leadership. Helping your clan with any questions or guidance is NOT Micro Managing. SHOW YOUR SUPPORT!

LEADING BY EXAMPLE

Leading by example means you're guiding others through your behaviors and inspiring them to do the same as you. When you lead by example, you provide a path to direct others down so that everyone is working towards a common goal with the same purpose, all the while creating a picture of what's possible. People can look at you and say, "Well, if he can do it, I can do it." Build that relationship with your members and learn from one another.

PROFESSIONALISM AND FAIR PLAY

XILED GAMING members will display a professional gaming demeanor at all times. Any match an XG member participates in should observe the rules of Fair Play, Sportsmanship and Respect. As an XG member, you not only represent yourself but XILED GAMING as a whole.

Communication

Just a reminder of what the official forms of communication are for the community, there is as always the Website (xiledgaming.com), the XG Official Discord servers, and last but not least there is Xbox. Any communication outside these three is not official XG communication. Any communication between leadership especially needs to be through one of these three. There are many reasons behind this not only, it is easy to watch and moderate things and stop drama from happening, but when leadership utilizes it, it makes it easier to communicate with the other leadership that needs to be communicated. Any important information such as leadership communication should flow through the XG servers or through forms that all leadership individuals who need to be involved can be notified of.

BOTTOM LINE! Have fun, play games, and network with other gamers that share the same interest. At the end of the day, it is after all just a game!

Usergroup Requests:

When a recruit signs up on the website to join the community, they do not need to be accepted into the usergroup until the recruitment period is over (one week). This will keep your usergroup from getting out of control if that potential member ends up not making it to Private. Although you, as XS's, get notifications of someone requesting to join the usergroup, you should not be accepting these because that is the General's responsibility. This is an example of micromanaging the clan.

Communication:

As we all know Communication is the Key to Success; therefore communication needs to be consistent. Generals, if you are going weeks without being in touch with you clans (other than Sunday meetings) then you are not doing your job to be successful and your clan will suffer. XSs, if the only time you spend with your generals is at Sunday meetings, then you are not doing your job and your section will suffer. Work on doing a better job of being a better communicator because your clan or section need an effective leaders that put an emphasis on communication.

Recycling Leadership

All ranks must be earned - handing somebody a leadership rank only because they have previously held a leadership rank in the past is not what you and your leaders should focus on when considering promotions. Go through their current rank responsibilities and ensure that they are already doing what is expected of them at that rank. Then take a look at the responsibilities of the next rank and evaluate whether or not you think they can handle the extra responsibilities of that rank - if you feel like they could fulfill some but not all, start working with them on those areas that they need training on.

Discord server rules

Everyone that is a Mod for the discord, if you see members breaking the rules, step in and take action. Even if the member is not part of your section/division, you should be doing something about it if it has not already been handled. Not everyone sees messages being placed on the discord at all times. That is why we must work as a team to root out the problems.

__**Server Rules and Guidelines:**__
The Xiled Gaming server is run by a team of dedicated volunteers with the aim of giving a haven for good-natured discussion, debates, and fun on the Internet. It is the Individual Members responsibility to be aware of all current server Rules/Guidelines. Ignorance isn't a justifiable excuse, so if you aren't certain then ask first.

__**Moderation:**__
We moderate the server on a common-sense basis and would ask that each of our visitors obey simple good manners when posting on the server.
- The moderators will issue warnings for wrongful behavior and their decision is not up for debate!
- Warnings may consist of the violating user being "muted" in the server for a specific time frame.
- Users may also be banned without notice or explanation from the team if we feel it is in the best interests of the community.
- This server enforces both a "three strikes you're out" policy for repeated violation of the Server Rules and an immediate banning policy for extreme infractions. When necessary, posters who have broken server rules will receive an official warning from staff via Discords "direct message" feature. After two warnings, a third infraction will result in an immediate ban of the account without further notice.
- See something that's inappropriate, breaks the server rules or have a question about the server? Direct Message <@450730162611552260> the details and our Mod/Admin team will take care of the problem.

__**Server Rules:**__

**1. This is a gaming server.**
- There is no room for your political or religious views. Political or religious views will earn you a ban.

**2. Since this is a server open to people of all ages, keep all posts PG-13.**
- Adult content is prohibited. Because the Server is family-friendly, discussion or linking of adult sites is prohibited. Links to adult content and/or posting of jokes or comments of an adult nature are prohibited. All links to adult content, within the server, will be immediately deleted and the posters will be banned.

**5. Be nice to each other and respect the moderator.**
- Profanity and insults will not be tolerated. If you have a problem with another member turn to a moderator and if the moderator can't help you send a private message to an administrator.
- Instructions by the moderator team are to be followed.

__**The following infractions are grounds for immediate, no-questions-asked banning from the server.**__

**1. Drive-by Spamming.**
- Users who join and post for the sole purpose of linking to their sites will be immediately banned from the server.

**2. Threatening Posters.**
- Users who make physical threats against staff or members via posts or direct messages will be immediately banned from the server. Members who receive such threats should immediately contact a staff member and should save the original copy of the threat.

Throughout its history, the Xiled Gaming Company has successfully met all its challenges. The online XG community began on January of 2006, the Council of Leaders broke from the community known as KSI in order to run a Community free of cheating, trash talking, racism and run it the way they see fit.

From those early days of the XG community there has been, certain bedrock principles or core values that have been carried by the members in silence. They consist of three basic principles, and together create the XGC mission.

Honor: "I will bear true faith and allegiance..." Accordingly, we will: Conduct ourselves in the highest ethical manner in all relationships with peers, superiors and subordinates; Be honest and truthful in our dealings with each other, and with those outside the XGC community; Be willing to make honest recommendations and accept those of junior personnel; Encourage new ideas and deliver the bad news, even when it is unpopular; Abide by an uncompromising code of integrity, taking responsibility for our actions and keeping our word; Fulfill or exceed our legal and ethical responsibilities in our public and personal lives twenty-four hours a day. Illegal or improper behavior or even the appearance of such behavior will not be tolerated. We are accountable for our professional and personal behavior. We will be mindful of the privilege to be able to take part in such a prestigious community as XG.

Courage: "I will support..." Accordingly, we will have: courage to meet the demands of our profession and the mission when it is, demanding, or otherwise difficult; Make decisions in the best interest of the XG community and XBOX-LIVE, without regard to personal consequences; Meet these challenges while adhering to a higher standard of personal conduct and decency; Be loyal to our community, ensuring the resources entrusted to us are used in an honest, careful, and efficient way. Courage is the value that gives us the moral and mental strength to do what is right, even in the face of personal or professional adversity.

Accordingly, we will: Demand respect up and down the chain of command; Care for the safety, professional, personal and spiritual well-being of our people; Show respect toward all people without regard to race, religion, skill or gender; Treat each individual with human dignity; Be committed to positive change and constant improvement; Exhibit the highest degree of moral character, technical excellence, quality and competence in what we have been trained to do. The day-to-day duty of every XG man and woman is to work together as a team to improve the quality of our work, our people and ourselves.

GENERAL'S RESPONSIBILITIES

Generals are the backbone of XG and should be respected by all XG members. As a General, he/she is a role model for the Captains and all the members of his/her clan.
Responsible for overseeing all aspects of a single clan, as per the XG Clan Structure Guidance.

Generals Responsibilities:

• Work with Captains. Ensure they are properly trained to uphold their responsibilities, manage their squads effectively, and handle issues and enforce the Honor Code. Speak with them regularly to discuss squad activity, their development and the development of their Lieutenants.
• Attend mandatory bi-monthly leadership meetings to keep up-to-date on community information, and host weekly clan meetings to pass along necessary communication from upper leadership and ensure that clan issues and goals are discussed.
• Communicate issues to higher leadership that are warranted.
• Maintain the clan’s Discord channel and clan list and updating it, at minimum, by the 1st and 15th of each month.
• Submit gamertag requests to Section Leaders for approval.

THE HONOR CODE
In Article 6 of the Honor code it states that:

XG members CANNOT be apart of any other gaming communities/clans! Any and all gamer tags must be either in XG clans or in none at all. XG does NOT have ANY alliances with other gaming communities/clans! XG will remain friendly and professional with ALL gaming communities at all times! ZERO TOLERANCE! If a XG member leaves, they are NOT allowed back. In the event of a member wanting to come back, each situation will be looked at by the COUNCIL/Division Leaders on a case-by-case basis.

PROMOTION REQUIREMENTS
NO Promotion is just given for meeting the time requirements. Promotions must be earned by fulfilling all the responsibilities of each rank. Promotions are not asked for they are earned. Because you have been in your position for a long time doesn't not guarantee you a promotion. If you have completed these requirements please speak with a leader. If you are not maintaining the requirements of your position please understand you are hurting your clan, the community and your friends. If this happens you will be relieved of your leadership position. It isn't personal. We can't have inactive or ineffective leaders hold back what our members need. please review the promotion requirements with the link provided.

XG PROMOTION REQUIREMENTS

STAYING IN YOUR LANE & TEAM BUILDING
When dealing with issues that involve members from outside your squad, clan, section, or division, their leaders need to be involved. Example: Generals, if you are having an issue with a member from another clan, it is not up to you to handle that issue. You should be contacting their General directly so the issue can be discussed, worked out, and handled appropriately. If you are having a hard time getting in contact with said leader, go up your chain of command. Ideally, we would like to see our Leadership work together when handling issues. This encourages team building and gives leadership the opportunity to learn from each other in situations one has not yet dealt with but may in the future. However, it is important that the direct leadership is involved and handles all issues.
