Promotions

Just because you reach all requirements to be promoted to the next rank does not mean you will be promoted right away. Promotions are earned not given. If you are seeking a promotion, work for it! The leadership notice it!!

Training Leadership

As a General, always make sure that your leadership under you understands their responsibilities, and that they feel comfortable asking questions when they aren't completely sure. However, if you are spending time training someone on the same thing over and over again, and it doesn't seem to be getting through to them, you need to figure out why that is. Whether it's that you need to find a different way to teach them, or ask for assistance from your XS or a peer, it needs to be a priority. If someone isn't capable of learning or retaining information, sometimes that leads to making a difficult decision and putting someone into the rank that is capable of learning. Keep in mind that if someone can't learn it themself, how could they teach it to anyone else in the ranks below them?

Discord Communication

Keep in mind that we do not handle issues over Discord. It is to be used for keeping in communication when not on the Xbox, but nothing as far as issues, promotions, and clan business should be handled over Discord, it should always be taking place on the Xbox. If you have any questions about this or want clarification, please ask your XS or XD.

Moderator Classes

Moderator classes are back!! Sign ups are on the Leadership Training thread on the site: https://www.xiledgaming.com/forum/xi...ebsite-classes. This sign up is for Generals and Section Leaders only!

Recruiting & Reading In New Recruits

Recruiting is necessary for all clans, whether it's to grow in order to prepare for a squad or clan split, or to keep the clan stable as people leave or go inactive, which is inevitable over time. The process for recruiting and reading in should be something
all
leaders should be comfortable with, and that you and your Generals should be training your leadership to do without you having to be present each and every time. Work with them until you are comfortable with them flying solo and then let them spread their wings and fly. Ensure the appropriate Honor Code is went over with them, answering any questions they may have, and also inform them of the rank structure and ensure they know what the leadership ranks are in the community. This will give them a solid foundation to build off of when first joining the community.

Clan Game Nights

Doing a weekly game night is one of the Generals responsibilities. There are a lot of benefits to doing a clan game night, such as ensuring members are active with their fellow clan members, introducing recruits to everybody and making sure they are a good fit during their 7 day recruit period, and while gaming with your members you'll be able to see potential future leaders and how they interact with everyone in the party and/or game nights.

Moderation

Now that moderator classes are back, if you as a General are taking the class and receiving moderator, you should be keeping your clan forum up to date. Your Section Leader will still be checking to see if you are doing what needs to be done, and always keep in mind that if you aren't sure about how to do something, just ask. Taking the moderator class does not guarantee you to permanently have the privilege to moderate, if you aren't using it or are abusing it, your moderator can easily be taken back away.

Discord

Yes, Discord has changed a bit but it still holds a very useful purpose! Division-wide chat boxes are gone, instead we have added section chats have been added in place of that, which will be everyone in that section. Please utilize the XG Community Discord server, which has a general discussion channel you should use to reach out to members outside your section or clan. There are also channels for a multitude of games, so if members are looking for people to play certain games with, make sure they know about choosing their games to be included in those channels. Discord will be treated the same as the XG website, meaning any drama and/or infractions that happen via Discord will be handled on a case by case basis but you can be removed for breaking these rules! If ANYONE has questions regarding this, please hit up an XD for clarification.

Clan Compete

We've touched on this in past weeks but this is open and ready to go! Create your teams, join a ladder and let's get some challenges in!! All X-TEAM challenges will be done via CC from now on! If your "whole team" isn't registered, they will not be able to participate. NO EXCEPTIONS.

In order to get more familiar with the site and issuing challenges, please start using Clan Compete to do section competitions, clan battles, or even squad matches. The sky is the limit and we want to get your feedback on how the site could be utilized to the fullest extent, but in order to do so you have to actually use it and understand it. Hit up your chain of command if you have questions.

Xiled Gamer Girlz

XGG is now a team on clancompete.com. The ladies are going to be battling any and all clans, as well as accepting challenges. If you have ladies in your clan that are not in the XGG Usergroup on the website, Generals you can request them to be added. When doing the add request, just put the title as XGG. For clancompete.com if the ladies are signed up on the website, you can send a message to XGC Tantaliz XC, XGC Buffy XD, KoG LOTUS XS, SYN LadyRebl XS, or SYN xPiNKx XS and they can send out a team invite!

Discord Role Assignment

When members join their division discord server, it is imperative that they are given their rank and clan roles. Without them having roles, they won't have access to be able to their clan or section chat, and won't receive messages about meetings or other important announcements. Make sure you as Generals are checking weekly, if not daily, to make sure the members in your clan have their proper placement.

Class Attendance

Generals, when signing up for classes on the website, please ensure you are showing up on time and ready to participate. If you can't make it, it is your responsibility to message the teacher of the class to let them know so they aren't spending time waiting to see if you make it online, and someone else could take your spot who is able to attend since there is limited space available in the class. If an emergency arises and you aren't able to communicate right away, that's understandable, but make every effort to let them know.

Help Desk Requests

When doing add and removal requests on the website, please put a detailed reason on why the member is being removed or added to the clan. It is important to do so because we need to have a paper trail to why they are leaving or being added. If you are doing a transfer, please remember that both Generals must post the ADD and REMOVAL requests to ensure a quick transfer. It is important to do so because we need to leave behind a detailed reason to why they are leaving. If you need examples, please be sure to hit up your XS or a XD.

Additionally, please make sure you are posting requests in the correct area - if you aren't sure, again, please ask. We'd rather have you ask the question than post it incorrectly and have to come to you to tell you what you did wrong.

Promotions:

When doing promotions, you must make sure that ALL the responsibilities are read, understood and accepted! If a member doesn't quite understand them, it is your job as leaders to EXPLAIN IN DETAIL so that it is completely understood! NO EXCEPTIONS!

Xbox Etiquette

When in Xbox parties, please don't remove members without good reason. If there is clan business that needs to be discussed, let them know and be respectful when asking them to leave. Be courteous while in a party, if you have background noise going on or are having background conversations, mute your mic when possible, especially during clan meetings.

Recruiting & Reading In

When new recruits are brought into the community, the person doing the read-in must cover the below items, with no paraphrasing or shortcuts.
1. Honor Code (division specific)
2. Rank Structure
3. Forum Rules & Guidelines

Additionally, ensure that all potential recruits are screened to make sure they meet the age requirement, and also that they haven't been a part of XG in the past. If they have, make sure the proper research is done to determine if they need to fill out a Grass Wasn't Greener Application or not.

Trust & Verify

Obviously communication is the key to success...we should
ALL
know this! That being said, when talking to your members you should not just take their word on how everything in the clan is going. It is your job as a General to
DIG IN
and know what's going on before that conversation even takes place. It's a win win because you'll know what is really going on in the clan and be better prepared to handle & assist in solving any issues as well as building a stronger trust with your leadership and members as well. Remember to make sure that your members are comfortable speaking with you and your leaders so those lines of communication are open and honest.

Future Leadership

As leaders we want the best for our members. It is our job to train and teach each person below us (regardless of rank) on how to do their job better and hopefully propel them forward in the future if that's what they want. Identifying this early is key! Don't wait until a position in leadership opens up before you start looking to fill that spot...you should have your eye on one, if not more, members to potentially move up into leadership roles! This is the way to build a strong foundation within your clan! With good communication and training, you shouldn't have to worry about leadership vacancies.

Recruiting

Recruiting is essential in EVERY clan! Without new recruits, we can't grow in numbers and there won't be progression in the clan and community. Recruiting new members is
EVERYONE'S RESPONSIBILITY!!
Regardless of what rank you hold. Some may find it difficult to recruit and to others it may be easy...bottom line, if you don't at least attempt it you'll always fail. The holidays are coming up and new games coming out as we speak. This is the perfect time to "brush up" on your recruiting tactics. Also, if you encounter individuals that may not be a good fit into your respective division or clan, remember we do have two others! Age and their style should be the first focus when you meet a new person before recruiting them. At the end of the day, we want
QUALITY NOT QUANTITY!

Clan Primary Games

Please keep on top of what games your clan members are playing. Especially focus on this while new games are on the verge of releasing as well as the holiday season coming soon, when people might receive gifts of new games and start playing other things. You should know ahead of time if your clan is going to be switching from one game to another. If your clan has more than 3 games listed, ask yourself if that's actually true. Most clans aren't spread across more than 3 games consistently, if that is the case that's fine, but ensure that no member is being left behind.

COD Mobile

XGC Penguin XC just created an Xiled Gaming clan on the new Call of Duty Mobile game. It can be searched by "Xiled_Gaming". If anyone has an issue finding it, please message him via discord and he can get you added to it.

Working with Members

As a General, it's your responsibility to be talking with all members of your clan. Remember, a simple question can go a long way, whether it's to expose issues that weren't communicated to you previously, or to get to know potential future leaders and determine if they have the qualities we look for in our leaders. When you spot people doing things right, give them that praise to show them it's appreciated and to keep them progressing in that direction. Everything trickles down, both good and bad. Show them that leadership is fun and it will encourage more people to want to give it a try.

Clan Meetings

Remember that you should be holding a clan meeting every week, as well as posted your clan meeting notes and attendance in your clan forum. Meetings are a great way to keep people involved with their fellow members, as well as to communicate specific things happening in the clan such as squad splits, clan splits, new promotions and recruits, clan or squad matches, and much more. Also ensure you are training your leadership below you to be able to hold meetings in your absence for if you're ever unable to be online. Clan meetings are MANDATORY and part of your responsibilities as a General. You should not be reading the General's notes verbatim, you need to include specific things going on in your clan as well.

Generals:

Moderation of Forums/User Groups:

As moderators, it is YOUR RESPONSIBILITY to keep the forum page(s) clean and organized! If you aren't sure what needs to be done, message your Section Leader or Division Leader and we'll be happy to show you what's expected. This is part of your responsibilities as a Moderator and needs to be done. Don't just take your leadership's word because they say it's done. You need to be checking to see if in fact it was and was it done properly. If not, get with them and train them on the proper way to do said tasks. If a Moderator class is needed again, one can be provided. Please make this a weekly priority to be checking your clans forums. Remember, IF YOU DON'T USE IT YOU WILL LOSE IT!!!

Recruiting:

When recruiting new members for your clan, you should be looking for like minded gamers. QUALITY NOT QUANTITY!! We want members who are going to grow our community and further advance the success of XG! WE DO NOT RECRUIT OFF THE GWG! That is not an option. If a member comes through the GWG and is placed in your clan and/or asks to join your clan then that's fine but you should not be looking at it to find members looking to join a clan. NO EXCEPTIONS! Recruiting isn't hard, just get out there and try.

Recruits:

You should ensure that recruits are not on staying as recruits for more than 7 days. This has become an issue over the past month. The purpose of them being a recruit is to see if they are a good fit for the clan. If they are not a good fit or unresponsive, make sure they are removed off the clan/squad list for the clan.

Meetings:

Generals, it is your job to ensure that your Captain(s) are hosting a weekly squad meetings besides the clan meeting. It helps with communication with your members to ensure they get all the info passed on. As well as holding your own clan meeting with ALL members able to participate. If you have members who can't attend, you should be following up with them and bringing them up to speed! Additionally, Captain(s) need to host a weekly game night with their squad, either on the night of their squad meeting or another night that works best for them and their squad.

Clan and Squad Lists:

REMINDER, Clan and Squad Lists are due the 1st and 15th of EVERY MONTH! This is not something new and has not been happening when it should. We will be following up on who is or is not doing this. Editing should be done throughout the month to keep the list up to date with new recruits, promotions, demotions, removals, etc.

Blackout Tournament-Alcatraz!

Clan Compete will be hosting yet another Black Out Tournament....Alcatraz!! This will be held on Friday, October 18th at 8:30-10:30 pm Est! Interested? Join ClanCompete.com, create a team and join the Alcatraz Tournament Ladder! Rules are still in progress but similar to the previous tournament! Have any questions, hit up XGC Tantaliz XC, XGC Traitor XC, XGC Coop XC or XGC Wreck XC! We will be streaming LIVE on Mixer! Mixer.com/XiledGaming

Generals

Call of Duty Mobile

Call of Duty Mobile currently has a cap on the amount of people in the clan. Unless they lift it, it will be impossible to add any more than 20 or 30. Feel free to make groups for your clans. If the cap is lifted, we will circle back to it. If you have any questions regarding the Xiled Gaming clan, hit up XGC PENGUIN XC.

Names / Gamertags

We do NOT call people by their first name in the community. In XG we refer to everyone by their gamertag, no exceptions!

Discrimination

As members of this Community, we are expected to abide by the community rules and regulations. Our Honor Code is in place for a specific reason so that members can feel safe to be themselves. In each divisions Honor Code, in sections 8 for XGC and KoG and section 9 for SYN, it states that one of the Honor Code violations consist of discrimination. Discrimination classifies as the unjust or prejudicial treatment of different categories of people. No one should be made fun of for who they are, whether it be race, gender or the way they speak.

Just because someone is different does not give anyone the right to make fun of them. Generals, if someone approaches you about a concern like this, do not sweep it under the rug. Address the situation professionally in a timely manner and ask for help if needed.

Rank Responsibilities

If you are in a leadership rank, you will be held accountable to the rank responsibilities listed in the rank structure - found here: https://www.xiledgaming.com/3169127-...e-2015-update=

If you don't fulfill the responsibilities of your rank, you will be held accountable. If you don't know how to fulfill your responsibilities, ask for help from your chain of command and we will be happy to help you. Bottom line, we are all here to create a great gaming experience for all members of this community, and sometimes that means dealing with issues and preventing them from becoming greater problems.

Each rank is responsible for promoting the rank directly below theirs - Section Leaders promote Generals, Generals promote captains, and captains promote lieutenants. When a captain spot becomes available, the lieutenant should be the one promoted - there shouldn't be a sergeant jumping above the LT to become a captain. This doesn't set the squad or clan up for success. Also remember that just because someone used to be in leadership, doesn't mean they should be skipping rank - they should be working their way back through the ranks in the correct way. We do not recycle leadership.

Relationships in XG

We do not allow family members or people in relationships to be in the same clan. See this thread:
https://www.xiledgaming.com/forum/xi...adership-in-xg

For you Generals as well as your captains and lieutenants, this is something you need to keep in mind if it arises in your clan, and handle accordingly. The purpose of this is to ensure promotions are not being handed out to people due to favoritism or nepotism, as that is not how promotions are earned.

Earning Promotions

Please review the current XG Promotion Requirements here: https://www.xiledgaming.com/forum/xi...uirements-2018

Note that it is clearly stated that promotions are not given based on fulfilling time requirements. Promotions are earned, not given. Fulfilling the rank structure and responsibilities as well as showing that you are making good decisions to benefit your clan and the community will help push you forward to that next rank you are going for. Training the members below you is key to you being successful and moving forward.

Recruiting

We do NOT recruit from social media sites or apps such as Facebook, Twitter, Snapchat, Instagram, etc. Potential recruits need to be screened through Xbox parties and by playing with them to ensure they are a good fit for the community and they will follow our rules and guidelines, especially the Honor Code. Looking for Group posts, game chat, and messaging random players from games are just a few ways to do recruitment. If you need help, ask for it and we'll be happy to assist.

Leadership Decision-Making

When making decisions about removing members from the clan or issuing warnings, the only people that should be involved are you, your Section Leader, and possibly your captain and/or lieutenant. Decisions have to be based on what is best for the clan, division, and/or community as a whole, and the reason we have leadership is because you are expected to make those tough decisions, regardless of personal feelings or friendships.

Asking Questions

When a situation arises that you don't know how to handle, or if someone asks you a question you aren't sure of the answer to, please reach out to your chain of command to get the answer. We would always rather have you ask the question than to take incorrect action and have to correct it later!

Clan Games / No Member Left Behind

As you all probably know, the new Modern Warfare released a couple of days ago. Do any of your clans need a Primary Game update? Post an Update Clan request on the Help Desk so we can ensure this information is current and up to date. If there are members in any of your clans who are not getting the new game, it is you and your General's responsibility to get them into a clan where they have other people to still game with. Make this a top priority over this week.
https://www.xiledgaming.com/forum/he...or-delete-clan

Relationships in XG

To clarify last week's meeting note regarding relationships / family members being in the same clans, squads, or sections - neither member can hold a leadership rank. For example, if a Section Leader has a family member or significant other as a sergeant in their section, that is fine, but if that person wants to move into leadership they would need to transfer to a different clan under another section leader. If you need clarification, please ask before taking action.

https://www.xiledgaming.com/forum/xi...adership-in-xg

The purpose of this rule is to ensure promotions are not being handed out to people due to favoritism or nepotism, as that is not how promotions are earned.

Clan & Squad Lists

Clan and Squad lists are due by 11:59pm EST on Thursday, October 31st - ensure you have posted your clan list by this time. If a captain isn't able to post their squad list, you should be posting in their stead and following up with them about why they didn't get it done. You should be comparing the clan list and usergroup to ensure they match, hit up your XS or an XD if you need an updated copy of your usergroup.

Transfers

Regarding transfers, they should not take more than 48-72 hours (2-3 days). As a reminder, WE DO NOT DENY OUTGOING TRANSFERS! As soon as the transfer request is made to the member's current General, it needs to start moving through the process by you messaging your Section Leader to let them know about the transfer. If you have any questions regarding handling transfers, direct them up the chain of command or use the open door policy if needed.

If the member requesting a transfer is a potential issue, that should be brought up so the new potential Section Leader and General are completely aware before they accept the transfer in.

Training

When training members to advance in the clan/community, it's required that you spend time, explain and run through all aspects of the proposed upcoming rank. That's how proper training is done. THERE ARE NO TESTS! The only tests that are given are the Intro to Generals, the Advanced Generals and the Section Leader Tests!! NO EXCEPTIONS! We do not test or quiz lower ranks to be considered for promotion. If this is happening, it needs to stop NOW!! If you hear of it, get rid of it. Any questions, hit up a Division Leader.

Game Sharing

Regarding game sharing...this for starters is not a good idea! It gives "strangers" (to be fair, unless you've met someone in real life, you are just that) access to not only your account on the box but and personal or sensitive information that's stored on the box. This is NOT something we practice or condone in XG, as you are responsible for anything that takes place on your account, regardless of if it is you or somebody else actually doing it. You should not be asking clan mates, leadership or anyone else to game share or to gain access to their account. If this is happening, stop. NO EXCEPTIONS! Asking random people to game share or their account information will get you removed from the community. Any questions regarding this, hit up a XD.

Add & Removal Requests

Remember to be doing both adds and removals in a timely manner. This ensures your user group and clan/squad lists stay up to date and accurate. Also, to help simplify things for not only yourselves but the Admins who handle the requests, if you have more than one please put them all in the same post opposed to multiple posts. (i.e. all adds in one and all removals in one) This will save everyone time and make things so much easier on all parties.

Just a reminder, prior to posting an Add Request, your clan list needs to be updated to show that person as a member. Member means they have reached the rank of private, so don't request to add recruits.

Removal requests need to be detailed as far as the reason - this is to assist in case they want to return in the future, it determines whether or not a Grass Wasn't Greener will be required

Recruiting

As a reminder, we do not recruit members from PC or Playstation. We currently only support Xbox console users. On some Xbox One games there is cross play enabled, so if you are actively recruiting, some games allow you to turn off that cross play function which will help eliminate those players that you shouldn't be going after.

Additionally - new Modern Warfare is out, so if you have been using the "We're waiting for the new game to drop" excuse, that stops now. Recruiting is a necessary part of maintaining successful clans and has to be done constantly to make up for members leaving, going inactive, etc.

Rank Responsibilities/Accountability:

As members progress within the community, different ranks come with different responsibilities...as a Captain, General, a Section Leader and so on...if your squad is failing, it's on you as the Captain. If your clan is failing, it's on you as General and if your section is failing, it's on you as a Section Leader...YOU WILL BE HELD ACCOUNTABLE! Training and communication is crucial in leadership. Without it, things are missed, issues are not handled and problems arise as a result. As leaders, it's our job to be in front of things so if and when they do go sideways it's easily managed and fixed. If you aren't sure how, get with your leadership and we will teach you how. Always ask for help and don't be afraid to admit that you don't know how to do something. Nobody has all the answers, that is why we have to work together as a team to create a better squad, a better clan, a better section, and a better community overall. Surround yourself with people who reinforce your weaknesses, and teach other people what you know - that is the way to be successful.

Training Your Replacement

All leadership ranks are responsible for making sure that they train their own replacement. This is also known as building your leadership pipeline. If a Captain has to step down for personal reasons, their LT should be ready to take their place without waiting several weeks for training to take place. If you aren't preparing for these situations proactively and holding your leadership accountable for their rank responsibilities, your clan will not be able to move forward and be successful. If you don't know what to do in order to overcome an issue in your clan, ask your XS or use the open door policy to find out, don't just wait until the issue happens, focus on preventing the issue from ever occurring.

Setting Goals

You should be working with your clans and leaders to ensure they are setting goals for themselves on a daily, weekly, and monthly basis. What do you do on a daily basis to move your clans and leaders forward? How are they moving forward in their progression as leaders and helping those below them succeed and get to their next step? If they aren't moving forward and pushing themselves and others forward, they are stagnant. Make sure this isn't happening with any of your clans, and if it is, figure out how to get them out of their rut. If they aren't upholding their responsibilities, you need to train them or find a new leader.

Leadership Classes

These classes are designed to help your leadership obtain the knowledge to move forward as a successful leader. The only classes that are MANDATORY are the General's Classes and Section Leader's class. The Captain class is not mandatory but highly recommended. In the event a captain hasn't taken the class, work with him/her and try to get them in one as it will help when they move up in leadership. There is NO penalty for a captain not taking the class so we do not demote Captains just because they haven’t taken the Captain class.

Clan Sizes

Generals, when your clan is moving towards 25-30 members, your XS and yourself should be developing a plan for a clan split and getting your leadership ready. The optimized clan should have 20-30 members with full leadership and replacements ready to go. When looking at number of squads in your clan, you do not need to have a specific number of squads in order to do a clan split - clan splits are done when leadership is ready. We have the Clan Structure in place for a reason. Squad splits should be taking place when members have earned that promotion and shown that they will be able to run a successful squad.

Know The Basics

Make sure you and your leaders know where to find all of the basic leadership tools on the website, such as the clan structure, rank structure, and promotion requirements. You should be able to help all members on where to find these as well. If you haven't looked through the XG Bible, that is also a great resource for both you and your Generals to be able to view answers from XC/XI on questions that have been posted over the years on a wide variety of topics. If you aren't sure on an answer, that is a great place to look if nobody is available to pull into a party at that time, if you can't find an answer anywhere you can start a thread yourself to get a response.

Clan/Squad Lists

Remember, these are mandatory and are due BY the 1st and 15th of each month. They may be posted up to 3 days in advance, so if you or your Captain needs to post early, make sure you do so, rather than posting late.

Stay In Your Lane

As a General, it is your responsibility to run a successful clan. In order to do so, you must focus on you and your clan first, not what is going on in other clans. If an issue arises between one of your members and a member in another clan, bring it to your Section Leaders' attention immediately so it can be handled. If a member from another clan comes to you with an issue, direct them to their leadership first, or tell them to utilize the open door policy and hit up an XD/XC/XI if it isn't being handled.

Promotion Requirements

These will be getting updated later this week, keep your eyes open for when they are posted!

Recruiting

As always, recruiting needs to be happening in all clans, at all times. This is to keep the clan from becoming stagnant and dying when people go inactive, leave, or have to step away due to real life. We expect recruiting from all members, but especially from leadership - all leaders need to lead by example and bring in quality members who fit in well with the clan and squad, not just a bunch of members who don't actually want to participate and end up falling off anyways.

Recycling Leadership

We do NOT recycle leadership. Just because someone has previously been in leadership does not mean they are the right person for leadership currently. Evaluate all members the same, regardless of past experience or knowledge, and see who earns the promotion by being a positive example in the clan and moving the clan forward. If you allow your judgment to be influenced by friendships and what people tell you instead of letting their actions speak for themselves, you and your leaders will have trained your future leadership to be the same way. If you don't know what you should be looking for when promoting leaders, ask questions and use your chain command or the open door if needed.

Handling Issues

When handling problems or issues that arise, you should be approaching them rationally, not emotionally. Get both sides of the story prior to making decisions, and don't handle warnings without having a peer or higher present, in order to prevent any he said she said being brought up down the road.

Remain professional at all times with your interactions, whether it's in party, through Xbox messages, or on Discord. The example you set as a leader sets the tone for those members whom you interact with, whether they are in your section or not.

Accountability

You as a General will be held accountable for your rank responsibilities, and you need to do the same with your leadership beneath you. If they are not fulfilling their responsibilities, find out why and explain to them what they need to do in order to remain a leader and move forward and grow. If they aren't understanding what they need to do no matter what you try, ask for help from a peer or a higher-up. If they just can't learn, the tough decision has to be made to demote them from that rank so they aren't preventing the clan from progressing. Train your leaders to be able to make these difficult decisions so you are preparing them for their next step as well, as they will not be promoted if they can't make those calls themselves.

Grass Wasn't Greener

GWG is not to be used for inactive members coming back active. If we know the member was inactive and did not leave the community, you do not need to send the member to GWG as it creates extra work for no reason. If the members' clan is gone, then place him/her in another clan that plays the same games as them. No member left behind! GWG is for anyone that wants to come back after leaving the community, whether it was by their own choice or they were removed by a leader, that's all. We always check that they are being honest, if they said they were removed for inactivity, you should be looking for a removal request that states so - ask them if they remember which clan they were in, who the General or XS was, and any other information they can remember. If you aren't able to find a removal request, ask your chain of command to see if they can help, if there isn't a removal request found they will need to fill out a GWG so their story is able to be verified.

Xbox Live Group Messages

Xbox Live group messages for each clan are strongly discouraged. If you make a clan group message and it results in someone being com banned, the result isn't something that Xiled Gaming will be handling as it is not our job to police Xbox.

Discord Invitations

If a member has been removed from the community or chosen to leave, they should not be issued an invite to any XG Discord server. If you are found to have done so, you will be removed. Ensure all members that are in the Discord server for your clan are still current members.

Managing Your Clan

As a General, you are in control of your clan. If you feel someone isn't a good fit for your clan, ask yourself if they are a good fit in a different clan, different division, or for the community as a whole. If you feel they will be a good fit elsewhere, work on getting them transferred. Don't let one person affect the whole clan - you are expected to take action and ensure that your clan is staying on a good path and moving forward.

Promotions

When promoting leadership, we do not look at the time in their current rank other than if they have met the minimum time requirement listed in the Promotion Requirements. If someone has been going above and beyond more than anyone else, and have earned that promotion over somebody else, that is what should determine who gets promoted first. If you have questions regarding this, hit up your leadership.

Xbox Live Gamertags / Website Usernames

With Xbox updating their Gamertag system, we understand that you are now able to change your gamertag into other languages. Xiled Gaming's website will only be using the English basic alphabet, so please ensure all members know to keep their Xbox Gamertag in English as well.

Recruiting / LFG Posts

Using the Looking for Group post on Xbox is a great way to recruit in your clan - make sure you and your members know how to make those posts and use them effectively. If nobody is replying to your LFG post, you can also look for other people's LFG posts and put that you are interested to find people that might be in need of a community. Stay patient, just because no one responds to your post doesn't mean you can't go out and respond to someone else's.

Benefits of the Community

Recruiting is key for every clan - when you joined, you likely wanted more friends to play with online that you got along with and enjoyed spending time with in parties and playing games. When bringing in new members, they will be looking for the same thing - make sure you are doing game nights and that people always have someone to play with when they are online. If someone changes games or schedule and they are no longer able to play with members in their squad and clan, it is you and your leadership's responsibility to find them a home that works best for them. Make sure you are paying attention to this and teaching your leadership to do the same, and ask your XS if you need help finding a home for a member.

Help Desk Add/Removal Requests

When doing add and remove requests, make sure you are being briefly descriptive for the reason. If someone is transferring, the clan they are leaving needs to do the removal request before the add request can be completed. If someone is being removed due to their behavior or Honor Code violation, that needs to be extremely clear, as that will assist if that member submits a Grass Wasn't Greener application in the future. As a reminder, we do not add recruits to clan usergroups - they must reach the rank of private and be registered on the website before being added.

You can use the Advanced Search feature on the website to see if they have registered - ask your leadership if you aren't sure how to do this.
https://www.xiledgaming.com/search?q...7D&AdvSearch=1

Clan & Squad Lists

Clan and Squad Lists are due by Saturday, December 14th @ 11:59pm EST. If your Captain hasn't posted a squad list, you as General should be posting their list. Follow up with those who did not post their list on time to find out why they didn't and make sure they are aware that they can post it up to 3 days early if necessary.

Using Your Resources

We have a lot of resources available on the website - from the XG Bible, to the four pillars (Honor Code, Rank Structure, Clan Structure, Promotion Requirements), to the Leadership Tools forum located here: https://www.xiledgaming.com/forum/xi...adership-tools

When it comes to training your leadership, evaluating them for the next promotion, as well as making the decision to demote someone, etc., don’t forget to refer back to the rank structure (which provides their current responsibilities) as well as the promotion requirements. These give a detailed list of what’s expected of each rank and what’s expected in order to move further up the ranks. Each member should have their responsibilities explained to them when they are promoted and should be referred back to continuously.

Handling Issues

No situations need to be dealt with right away. If need be, even the biggest of issues can wait until Sunday when they can be discussed with multiple leaders. That said, you don’t need to be rude when asking someone to wait. Determine if the issue is something simple and handle it if you can or simply tell the person you need to gather additional info in order to make the right decision. Do not ignore our members. If you cannot help them, find someone that can. Playing games is not an excuse for ignoring issues. As a leader, it is part of your responsibility to deal with issues so you need to manage your time online appropriately. Should not take more than a week at most to gather the information needed to handled the issue at hand.

Holiday Break

Christmas and New Years is here again! Remember, this is a time where members can be distant and sometimes unresponsive due to traveling and spending time with family, so patience is going to be needed. There are no meetings required until after the New Year but try to communicate with your members as best you can and hold games nights to keep activity up. Also I'm sure a lot of people will be getting new games over the holiday so let's not forget the recruitment opportunities. Overall, be safe, have fun with family and friends and enjoy the holidays!!

If you will be gone for an extended period of time, please communicate this to your XS as well as your leadership and clan, and direct them to the open door policy if they need assistance while you aren't around.

MERRY CHRISTMAS!!!

CLAN SPLITS
Are you ready to Split?

There is more to splitting a clan than just simply having the #'s. Splitting your clan involves recruiting like-minded members, identifying and training future leadership. The current clan must meet all standards of a successful clan prior to asking yourself if you're ready to split. Having a main game, recruiting on that game, holding weekly clan meetings with good attendance, holding weekly squad meetings ran by the captains also with good attendance, participating in weekly clan game nights, etc. Generals should be working closely with their Section Leaders to make sure that they are on the right track.

TRAINING LEADERSHIP

Training our leadership should always be a top priority that is never ending. We may sometimes forget that when we promote someone into a leadership role they don't know what expected of them or how to do something unless we tell them and/or show them. Captains and Generals classes are available to help teach those leaders but should not take the place of hands on training. Section Leaders and Generals, it is your job to identify the strength and the weaknesses within our leaders and work with them to grow.

UTILIZE CHAIN OF COMMAND

The open door policy is in place for any member of any rank to hit up a higher rank with issues, ideas, suggestions, etc. However, it is very important to utilize your direct chain of command for most issues. Your direct leadership knows you and your clan members more than an XD-XC may and may be a better fit to deal with the issue. Also, if you don't know how to do something, this gives them an idea on what needs to be worked on and they can continue to follow-up in progressing forward with.

CHRISTMAS IS HERE!

With Christmas comes Christmas Noobs! In the next few days there will be an influx of new players on all the new games that have recently come out. Take advantage of this! This is the best recruiting time of the year!

Everyone have a safe and Merry Christmas!

Generals:

Communication

We all know communication is the key to success, so what we need to do as we pass information up and down the chain of command is to make sure people comprehend what we are saying, teaching, and representing. This will ensure that no miscommunication is happening, and will also save time and energy by you not having to repeat yourself and teach the same thing repeatedly. So please ask these questions when you want to verify that the members below you heard you AND also understood the message you were passing down.
1. What are the next steps you're going to take to accomplish the goal?
2. How would you say that in your own way?
3. Why do you think that is important?

These questions will clarify if the person or people were listening and if they understood your message.
If they aren't able to respond, try approaching it differently and communicating with them in a different way - if needed, utilize your peers or higher ups and they will be glad to help as well.

Recruiting:

This is the prime time for possible recruitment opportunities! People are off work, out of school ect. This obviously allows for more gaming time. Let's take advantage of this time and open up to new people and try to recruit. It's not hard to do and even easier with a group, just gotta go out and try!! Try leaving a couple open spots on your team and invite a new person in and see how they interact or game chat (depending on the game).

Holidays:

We know that Christmas was just this week and New Years is right around the corner, this in mind, understand that some may not be responsive on the box or active in meetings. Please be mindful of this when sending out messages requesting activity or communication. Things will balance out after the holidays are over. Be sure to do your best as a leader to keep an open line of communication with all your people.

Clan & Squad Lists

All clan and squad lists are due by 11:59pm EST on Tuesday, December 31st - please post them early if you know you'll be out having fun on New Year's Eve! The beginning of the year is a great time to ensure your clan list and usergroup match up, if you aren't sure how to do this, get with your XS. Usergroups can be requested from any admin on the website, don't be afraid to ask for these.

New Year's Goals

It's a New Year for Xiled Gaming. It's time to take a look at what it is that you want to achieve in the community. We want every leader in the community to set a personal goal for themselves as well as a community goal for their clan. Develop a plan and figure out how to execute that plan and meet your goal. Small milestones and goals lead to greater accomplishments, think of them as stepping stones as you move down the path towards the larger goal.

Why People Join XG

There are two main reasons that people join Xiled Gaming. #1 is to have someone to game with all the time (socialization) and to be competitive. Xiled Gaming has a platform for competitive players to use, www.clancompete.com - there are currently ladders open on R6: Siege, Black Ops 4, as well as Singles, Doubles, and Teams ladders open on CoD: Modern Warfare! If you need help getting set up, creating a team, etc. hit up your leadership.

Accountability

As a General, it is your responsibility to make sure the leadership in your clan are completing their responsibilities. When lists are due, you need to make sure that your Captain's are posting their lists, not just taking their word for it. When Captain's are doing their squad meeting, make sure they are actually holding them, or having their LT do it if they aren't able to make it. Be fully aware of all the responsibilities of every rank, starting with your own and all the way down to recruit. If you don't know what they are expected to do, you are not fulfilling your rank responsibilities and that will be addressed accordingly.
