XG Meeting Notes: October 7, 2018 Generals: Clan Meetings: Clan meetings should be held once a week. It is the job of the General to make sure that this is being done, and if the general is unable to run the clan meeting then the Captain should be able to take over for them. A clan meeting is a great time to introduce new members to the rest of the clan, congratulate people on their promotions and share important information with each other. As a General you should also be coming up with your own meeting notes for your clan meetings, they shouldn't be notes copied straight from the General's meeting notes. Not all of these things will be applicable to the rest of the clan and coming up with your own notes is a good time to evaluate how the clan and members are doing. If you have any questions about your clan meetings or how to run one remember that your Section Leader is there to help you, as well as fellow generals too! Usergroup Removal Requests: When requesting for a member to be removed, make sure you are checking your clan's user group to: 1: Making sure they are in the user group to begin with; and 2: Copy and paste the user's name so you have correct spelling. Make sure the information for why the request is being posted is as detailed as possible. (I.E. poaching, leaving for personal reasons, inactivity, left community, etc.) Recruiting: Recruiting is EVERYONE'S RESPONSIBILITY. This being said, when recruiting on games such as Fortnite, PUBG and/or Destiny where there are limited spots available per team. When you are out recruiting try to leave 1-2 spots on your team open for new people (potential recruits) to be invited. You may want to start out in the in-game lobby, if it is functioning, to see how the potential member interacts with other gamers. Once you are comfortable that they seem to be someone that you would like to find out more about, create a private party and bring them into your party and game with them. This will give you and others the opportunity to get to know the individual(s) without the clutter of an open, in-game lobby. This gives us the opportunity to filter out the quality people from the rest. This goes for all games as well. Quality over quantity. This is only one example of many ways to recruit. Use what works for you, but be aware of other options and ways to approach potential members, so that you can use all of them in different situations and games. The most important goal is to always be looking for future members. Website Activity: It is important to show members how to post within the forums and Clan Forums and the appropriate areas to post certain information. All information about XG is found on the website such as Game Boards, Rank structure, Honor Code, Xiled Teams (Design Team, News Team, Events Team), etc. This is important that members are trained properly how to find this information should any questions arise. Communication With Past Members: Just because members leave XG doesn't mean you can't game or interact with them. However, it is not appropriate to be discussing community matters with them. XG doesn't police your friends list.
