XG Meeting Notes:

Generals:

Lists:

Generals list are to be posted by the 1st and 15th and you should be ensuring your captains are doing so as well. If the 3 days they have to post it isn’t enough time, you as general should be pulling them in lobbies and discussing why. Remember lists are mandatory requirements, not suggestions, you agreed to when taking on your role. Whether you are a captain or general! Remember if your captains won’t be available, you as general should be ensuring it gets done.

Training Leadership:

As a General, it is your responsibility to be ensuring your leadership below you are properly trained, and training others properly. It is also good to get with other members who eventually want to move up, and start training them as well so they will be ready when the next spot is available. Just because you have your Captain and Lieutenant already, doesn't mean you can't start training others for those positions. If someone has to step down, you're on step closer to having the next person ready to roll in that spot. Get with your members and work with the people who want to move up.

Usergroup Removals and Update Clan Requests:

For usergroup removals, there should be two (2) things done first:
1. Use the exact spelling as the usergroup from the User I.D.; and
2. Putting the reasons they are being removed. Essentially, there is no reason why you should not be copying a pasting the username directly from the usergroup.

When doing Update Clan Request, please make it clear as to what it is that is changing in the clan whether it is having the change in a different color or stating the difference in the bottom of the request.

Community Unity:

As everyone already knows, we’ve lost a great many to this newest community SYG. Friends and family. So we, as community, need to come together and make this community the dynasty that it has been and always will be. We’ve all put in way too much work to lose great people that we have put work into to make our community great. But, at the same time, we don’t need to beg or make someone stay in a place that they just don’t feel as home. XG will survive the current turmoil. Communication is key in the survival. We need to make that we as leaders are making sure we touch bases with our people and let them know 1) who we are and 2) that we appreciate them.

Generals Notes

Members Leaving?
If it is not 100% clear that a person has left the community, a member should not be removed from the usergroup for that reason. A direct conversation must take place with the member regarding their status in the community. Therefore, they should be treated as inactive until said conversation takes place. Information from people outside of XG should not be treated as evidence of a member leaving.

Decision Making
As leaders when we make decisions, we need to always think through our choices and how they will impact others both directly and indirectly. Ever reaction has an opposite and equal reaction. Bad decisions beget bad results just as much as good decisions result in good results. Be patient when thinking through problems. -Note originally posted by XGC Juic3 XS

Generals:

Showing Offline:
We all appear offline from time to time. This can be when we have company, spending time with loved ones, etc.. and generally we're not available so we don't want people to think we are when our Xbox is on for whatever reasons. This should not be used to hide from our members or leadership! You should NOT be appearing offline all of the time and expect people to message you if they need you.

Leadership should NOT appear offline all of the time and leave it to your clans to guess if you are online or note. Even clan members should not appear offline all of the time. Part of the reason people join the community is to socialize with members, and if everyone appears offline, the socializing will not happen. If you are online, you should appear online unless it's for a good reason. Do not abuse the appear online function!

Training Replacements:
The most critical responsibility forevery leader to ensure the success of their clan and the community is to train their replacements. The classes in the community are not meant to be the only training done in the community. Talking, gaming and working with your members and passing down knowledge that you know is essential in developing the upcoming and current leaders.

Name Changes:
While Generals cannot approve Gamertag change requests, they can most definitely inform a member what is and is not going to be allowed. Please make sure you are learning from your Section Leader the Name Change request guidelines and process. This will help you tremendously in your growth as a General. No one should be changing their name into an XG tag without their Section Leader's approval!

Usergroup Removal Request:
When posting removal requests, be DETAILED on exact reasons for the removal. "Drama" and "disrespect" are blanket terms and are examples of things that need to be elaborated on. However, when you are adding the information about a member who left for personal reasons, be sure that you don’t elaborate too much into their personal life.

Clan Usergroup:
Does your user group and clan list match? Just like the Clan, it is your responsibility to make sure that all of your members are joining the User Group. It is also your responsibility to get those same members removed from the User Group if they leave, get kicked or transfer out. As many already know, you need to post a request in the Help Desk to get members removed.

Leadership Classes:
These classes are built to have the person in that specific rank to succeed and excel in the positions they are in. With that being said if you have not taken these classes it highly recommended as soon as possible. If you need a class to fit your schedule, you can look and see who teaches these classes in the leadership classes forums and you can message and see if they can get you a class for a time your available.

X-Team:
If there are clans that are wanting to challenge the X-Team to a battle, you are more than welcome to do so. Go to the X-Team forum on the website and submit a challenge. One of the coordinators on the X-Team will contact you to discuss the particulars of the requested battle.

XG Meeting Notes:
September 30, 2018

Name Changes:
Generals we need to be remembering to check the names on name changes. Before submitting a name change you should be checking the website and Xbox to see if available. They are as follows:
1. Click the community button under the blogs at the top of the page, then click members and search.
2. On the right of the page, type the name in the search bar or hit the advance search and type the name.
3. Make sure Xbox has the name available.
Your XS will double check this of course but you should be checking them as well.
If you have further questions about this process, please direct it to your XS.

Members Looking to Return or Join:
When you have someone who is looking to join or return, anyone can do the search to see if the person is or was in XG. You can see if a GWG is in order or not. Your XS should be the last person you are going to. It’s up to leadership to do and know these things and be teaching all members how to navigate the website. So please ensure we are showing all members where to search and find this information. If you need to have a reminder speak to your XS.

Transferring
When the transfer process begins the members below you need to be reminded that until their transfer is approved they are still in your clan! Therefore any issues, questions, concerns, and the like need to be taken to you, not the leadership over the clan said member is transferring to.

Furthermore, when the transfer process begins all parties involved do not need to be notified when every step is taken. The Section Leader and General of the clan your member is transferring to does not need to know they've put in the request with their current General and/or Section Leader, that information will be passed along accordingly. This is when patience and understanding really come into play.

Usergroups & Clan Lists:
Generals please remember to keep lists and usergroups the exact same, when removing from your list remember to do a removal request from usergroup. Ensure to write the reason as to why being removed. Also, if you have a member who has transferred to your clan, make sure you are walking them through how to remove themselves from previous clan's usergroup to join yours. This is the responsibility of the General of the clan to ensure this is done in a timely matter so the General of the previous clan does not have to put in removal requests for transfers.

XG Meeting Notes:
October 7, 2018

Generals:

Clan Meetings:
Clan meetings should be held once a week. It is the job of the General to make sure that this is being done, and if the general is unable to run the clan meeting then the Captain should be able to take over for them. A clan meeting is a great time to introduce new members to the rest of the clan, congratulate people on their promotions and share important information with each other. As a General you should also be coming up with your own meeting notes for your clan meetings, they shouldn't be notes copied straight from the General's meeting notes. Not all of these things will be applicable to the rest of the clan and coming up with your own notes is a good time to evaluate how the clan and members are doing. If you have any questions about your clan meetings or how to run one remember that your Section Leader is there to help you, as well as fellow generals too!

Usergroup Removal Requests:
When requesting for a member to be removed, make sure you are checking your clan's user group to:
1: Making sure they are in the user group to begin with; and
2: Copy and paste the user's name so you have correct spelling.
Make sure the information for why the request is being posted is as detailed as possible. (I.E. poaching, leaving for personal reasons, inactivity, left community, etc.)

Recruiting:
Recruiting is EVERYONE'S RESPONSIBILITY. This being said, when recruiting on games such as Fortnite, PUBG and/or Destiny where there are limited spots available per team. When you are out recruiting try to leave 1-2 spots on your team open for new people (potential recruits) to be invited. You may want to start out in the in-game lobby, if it is functioning, to see how the potential member interacts with other gamers. Once you are comfortable that they seem to be someone that you would like to find out more about, create a private party and bring them into your party and game with them. This will give you and others the opportunity to get to know the individual(s) without the clutter of an open, in-game lobby. This gives us the opportunity to filter out the quality people from the rest. This goes for all games as well. Quality over quantity.

This is only one example of many ways to recruit. Use what works for you, but be aware of other options and ways to approach potential members, so that you can use all of them in different situations and games. The most important goal is to always be looking for future members.

Website Activity:
It is important to show members how to post within the forums and Clan Forums and the appropriate areas to post certain information. All information about XG is found on the website such as Game Boards, Rank structure, Honor Code, Xiled Teams (Design Team, News Team, Events Team), etc. This is important that members are trained properly how to find this information should any questions arise.

Communication With Past Members:
Just because members leave XG doesn't mean you can't game or interact with them. However, it is not appropriate to be discussing community matters with them. XG doesn't police your friends list.

GENERALS:

Recruiting and Activity:
Recruiting members is fun and the numbers can look good on your clan. However, we do not recruit people just for numbers. It is imperative that we recruit quality members that are going to be beneficial to our clan, and be people who others enjoy gaming with. Also, it is imperative that we are not just recruiting members and never following up with them, bring the members activities and excitement from the community!

If someone has to step down, you're one step closer to having the next person in line ready to roll in that spot. Get with your members and work with the people who want to move up. Always remember a promotion is NEVER given they EARN it!

XG Clubs:

If you are not aware XG has a Club on the Xbox called Xiled Gaming. This club is good for socializing such as using the chat box, posting in the activity feed such as new promotions or game clips, looking for group posts to game with members and also adding new friends. If you are not apart of the club make sure you ask your leadership to get you into the club an a administrator will accept your invite.

Leadership for new members:

Over the past couple of months, we have been stressing the importance of having your leadership trained and a plan in place for the up coming new releases. Now that the time is upon us, hopefully everyone is prepared to bring in the new members and insure that the process is smooth for getting them indoctrinated into the community. A few items that should be considered are:

Who can read in new recruits? Does the general and/or captain(s) have to read in every recruit? Hopefully this is not the case for most clans. Anyone that is properly trained and knows the entire process for getting a new member read in is able to do important process. Hopefully the leadership of the clan has been working with the lts and sgts to make this happen. This will prepare them to take on more leadership opportunities in the future.

What is your plan for showing the recruits the ropes regarding XG? You should have a process to where someone shows them the ropes of XG. Whether that is the person that recruited them or one of your senior sgts. They should be invited to as many gaming parties, introduced to the members, and made aware of the meeting times.

What is the plan for getting them in the clan and ranked up? A recruit should only be a recruit for a week in almost all situations. (This timeline can be extended if the recruit is not available during that first week due to work or vacation, etc.) Your leadeship should make an effort to get to know each recruit and be ready to provide feedback on whether or not they would be a fit for the clan and make that decision at the end of the first week. It. Old be that the recruit would be a better fit for a different clan or division, whatever the case, do not prolong the decision. Once they are a member of the clan, the new member should be mentored and trained so that they are ready to become a Sgt once their 14 days as a private is up. As we discuss in the leadership classes, a member is more likely to be more involved and remain in XG once that reach the rank of Sgt., so that is why we need to make sure the process is done correctly and effeciatnly.

Professionalism
Anyone who is in a leadership position needs to understand that you not only represent yourself but you represent everyone else as well. When you talk people hear it and they are going to make judgements on what you said and how you said it. Remember that there are times and places for everything. There are times that we can be the goof ball, and mess around; but there are times like in meetings, or handling issues that we need to put on that straight face and conduct business like a professional.

XG Bible
Remember the XG Bible is a resource that anyone General and higher can utilize to find the answers to a host of different issues that have happened over XG's history. Remember to check here for answers before we start asking others. This is not to say that you should not ask someone a question, this is just a reminder that the answer might already be available to you if you just seek the answer.

Update Clans
If your clan decides to change their primary game, please make sure your talking with your Section Leader so they can put in an update clan request so we can keep everything as up to date as possible.

Removal Request
When putting in a removal request if you do not follow the format your request will be denied, if you do not know what the format is, read the description in the help desk!

XG Club
Let’s keep spreading the word about the XG Club! There has been a lot of new recent activity on the club and the goal is to get each member into the club.

Mixer
With XiledGamings mixer account please make sure you have it on your favorites so you know when Xiled gaming is streaming. Also, Make sure everyone knows they are invited to the big meeting stream!

Team Work
Team work makes the dream work. If you utilize your peers when handling issues, growing the clan, training them with everything you know only good things come with it you may learn something and they may learn something.

Gamer Tag Requests:

When accepting gamer tag requests, you need to be able to determine what's appropriate and inappropriate. Each member who represent (XGC, SYN or KoG) in their clan tag represents XG as a whole. If you do not understand how the gamer tag process, please get up with a XD with any questions. These changes need to be explained in detail when promoting new SGTS.

Inappropriate Content:

Leaders should be vigilant when it comes to making sure that the members are not be made uncomfortable with inappropriate content or sexually inscensative material when in parties with other members. No one should be made to feel uncomfortable because of the conversations or whatever is going on in a lobby. If you are a leader in a party where this occurs, it is your responsibility to shut down the situation and have a conversation with those involved. This is especially the case when potential recruits for the community are present.

Discord Server:

The XILED Gaming Discord sever now has channels for the mobile games that XG has clubs for (Clash of Clans, Boom Beach, and Clash Royale). If you are members of these clans, you can use the chats and voice chat to communicate about the games. If you play these games and want to join the XG clubs, check out the threads on the website.

-Fire team or squad voice chat channels. There are also voice chats for several games, such as
Destiny 2, R6Seige, Cod BO4, etc..These are useful for when party chats aren't working properly or to have people join who are not on the box at the time.

Finally, please continue to get your members to join the discord server. There is a link to the server on the XG home page of the website.

Update Clan Requests:

All update clan requests should be completed in a timely manner. When changes are made, regardless of leader change, game changes ect...the these requests should be done as soon as these changes are made.

Website Problems:

When having a website issue it is important that you get with your leadership to see if it can be corrected. If leadership can't correct the issue then you should be posting said issue in the Help Desk for more assistance.

Clan Growth:

With the new games out (Black Ops 4, Red Dead Redemption 2, Battlefield V soon, etc), so finding new quality members should be an emphasis for the clans biilding on these games. It is also just important to have your system established for making sure the new recruits are welcomed to the community and taught the basics of the community. It does no one any good to recruit a new member then they are left behind. We don't recuit just to increase numbers, we recruit to grow quality members.

Adding Leadership
Be sure that you and your clans' leadership are adding the appropriate leaders to your friends list. This includes at least a couple of other Generals, Section Leaders, and ALL of the Division leaders of your respective divisions.

Generals:

Quality/Quantity:

When recruiting members, remember quality over quantity. We want ideal members, not just numbers. Being selective on who's brought into the clan/community will undoubtedly benefit both. Make sure you're recruiting like minded individuals and gamers.

Training:

When training members at any rank, remember to teach them the proper way. Explain things in detail and always try to set them up for success! Teach them the tools they'll need to be better leaders and support them. Communication is key! Having an open line of communication will and does increase the success of the clan.

Forum Activity:

Activity on the website has been stagnant as of late. Members like to use social media outlets such as discord, voxer and kik for communication. We should be encouraging our members to utilize the website. Also it is a good way for them to become comfortable with the site which will benefit them when entering higher leadership.

Generals:

Meeting Notes/Attendance:

It is important when having a meeting you have your notes prior to the meeting that you would like to go over with your clans. Also it is important to go over the notes passed down by the Section Leaders. Each general should post their meeting notes and attendance after every meeting that way any members that we unable to attend the meeting can review the information and keep up with what's going on in the clan and community.

For Generals, as per the generals rank requirements, if your Section Leader is not online/available it is YOUR responsibility to out source another Section Leader for meetings. This means to not wait for a Section Leader to reach out to you but being proactive not reactive.

XG Rules and Guidelines:

These are not open to interpretation or modification for creating "new" rules or stances to control a situation within your section or clan. If you are not clear on what the Honor Code, Promotion Requirements, Rank Structure or Clan Structure, or any portion of what those mean, post your question in the XG Bible on what you are unclear on. The XG Bible is the only place where interpretations or amendments are documented. A link to both of those forums are below:

http://www.xiledgaming.com/forumdisp...and-Guidelines
http://www.xiledgaming.com/forumdisp...d-Gaming-Bible

Primary Clan Games:

Generals should diligent about keeping the primary game(s) of the clan up to date. This allows members to see what games each clan is gaming on when reviewing the website. It also helps when someone is looking to transfer a member or place a GWG applicant into a clan. So make sure your primary games updated.

Also clans with one squad and 3-4 primary games tend to be an issue because it spreads the members and there is no growth. The rule of thumb should be that you have one squad dedicated to any game listed as a primary game. It is perfectly fine for members to play as many games as they wish but there should be a focus on the game that the clan is built on.

Squad sizes:

We have a lot of 20+ members squads, which seems like a good "problem" to have but can be detrimental to the clans overall growth. The squads should be growing leadership at the same rate that they are growing members. The goal of the current clan structure, which has been in place almost three years, is "to create smaller, tighter, more personal clans." This obviously correlates to squad sizes as well. As mentioned in last week's notes, identifying and training the future leaders is the key to making the process work. Potential leaders should be discuss each week when you are having your meeting with your clan leadership. So if you get to the point of having 20+ members in a squad and there are no plans for a squad split in the near future, this is an indicator that recruiting members has mistakenly been placed above training members. As mentioned these are both equally as important. Keeping that balance will produce more capts and in the long run more generals and more section leaders.

Transfers:

Remembering that when it comes to transfer's outside of section, it is not the responsibility of the General to get with the XS of the other section. When it comes to outside of section transfers, it is the responsibility of the Section Leaders to get together to make the transfer successful. Remember that their is a chain of command for a reason, this does help to keep order and the success of each clan and member on the right track.

Holiday Schedule:

Keeping open lines of communication through out the holiday season with the leadership that is in direct chain of command is important. We all know that the season may side line us with family get togethers but it is your responsibility to let the leadership know if you are not going to be available for a meeting and or a game night.
Having someone that can sit in and uphold while you are unavailable is your responsibility.
These are responsibilities that were agreed upon when you accepted the promotion to the rank that you are currently up holding. Also, keep in mind, alot of members will be getting new games, which is a great recruitment opportunity. Anything that arises, ex: transfers, promotions or changes via help desk, please allow time for these things to happen because leadership in all ranks will be most likely traveling and/or busy with family. There will be no scheduled leadership meetings after next Sunday 12/16/18 until 01/06/19. Please be safe and enjoy this time with family and friends.

Generals:

New promotions and training.

Now that most of the squads have been right sized, as per the Clan Structure requirements, training the newly promoted members needs to take place. Also moving forward, as we have mentioned over the last past few weeks of notes, recognition and training of future leaders needs to always be one of the priorities of the clan's leadership. Having someone say that they don't have anyone ready or anyone wanting to move up is a sign that this part of the responsibilities is not being attended to in the appropriate manner.

General's Classes

If you have a general that needs a class at a specific time or day of the way, please pass that information up the chain of command or have that member message an XD with their schedule. We can make arrangements to meet the needs of the members in these situations.

Captain's Classes:

Many new captains have been promoted as of late. This means more classes will be made available so they can get the core fundamentals they'll need to run a successful squad moving forward. Make sure your captains are aware of these classes and how to sign up for them on the website.

It should also be noted that taking the captains class is not the only training needed. The learning processes never ends. Be sure that you are seizing opportunities to grow your clan members by providing continuous opportunities to expand their knowledge and leadership skills. So as a general, you should be working closely with the captains and future capts to get this training done. Also remember that your XS is there to help you.

Dealing with issues:

When dealing with issues be careful in jumping to conclusion with only a portion of the information. We have to remember to give people the benefit of the doubt. It's easy to lose sight of that over time. We don't always have to be suspicious or skeptical right away. We need to be patient and get all the details before we form an opinion. Sometimes things are also just as they seem and that will prove out once all information is gathered.

Holiday Break:

Christmas and New Years is here again! Remember, this is a time where members can be distant and sometimes unresponsive due to traveling and family, so patience is going to be needed. There are no meetings required until after the new year but try to communicate with your members as best you can and hold games nights to keep activity up. Also I'm sure alot of people will be getting new games over the holiday so let's not forget the recruitment opportunities. Overall, be safe, have fun with family and friends and enjoy the holidays!!

#1 [h=2]2-10-19 Meeting notes[/h] Today, 10:01 PM
2-10-19 Meting Notes.

Adding members to User Group-The current process for adding a member to the user groups requires the general to post a request in the help desk once that member is accepted into the clan. Meaning they have reached the rank of private and are on the clan list.
Recruits should not be getting promoted to privates if they have not registered on site, since that registering is the number one responsiblility of a private. If they can not do this, they should not be promoted to private in first place.

Help desk procedures-when posting items to be done on the help desk, make sure that you read the instructions posted as a sticky in each topics thread. Also make sure that all user names and clan names are spelled correctly. If the correct procedures are not followed or the user name(s) are misspelled, the post will be denied automatically.

Clan lists and squad lists are due prior to Friday, 2-15-19. If you have not had a chance to clean up your user group since the website came back online, please do so by then.

[h=2]Meeting notes for 2-17-19[/h] Today, 09:01 PM
2-17-19 Meeting Notes

Section Updates and Leader Logs--When it comes to Section updates and XG Leader logs these need to be updated on a regular basis when things go down in your section such as promotions, demotions, drama, game nights, the success in your clans ect, having every little detail is important especially for leaving a paper trail. If you need examples on the the difference between a update and a leader Log please hit up a XD.

Name Changes--Section leaders should not be deleting old name change request until they know the person has had there names changed on site. It makes it hard to find if xs approved names by have to check every deleted request to find names

Goals-When discussing or establishing goals for the clan or for your leaders, you can talk big picture but when it comes to establishing a plan of action you need to be able to narrow down the expectations to specific goals. For example, if one of your goals is to provide more training during Clan meetings, a narrowed goal could be to cover 2 articles of the Honor Code per week.

Check out out the Contribution page on the website, https://www.xiledgaming.com/vbdonate/index

Section Leaders:

Confidence in Leadership:

Self-confidence is one of the most basic fundamentals in being a leader that enables leadership to progress. How can you expect leadership underneath your position to embody your standard if you are unsure, confused or unstable? Ultimately you can have all the ambition, passion and want for change in the world but if you are not confidant in your decision making, then you will struggle to commit to action.

User Group Add/Delete Requests:

When user group add requests are made, the members need to be added to the clan list and be at least the rank of Private before being added to the clan's user group. If an add request is submitted and they are not on the clan list, that request will be DENIED. Also spelling is important with both add requests and removals.

Forward Progress:

Moving forward with leadership requires training. Every member should be trained and aware of their responsibilities at their current rank. Positions are earned, not given out! As leaders, it is our job to teach the member(s) below us how to do our job. This will help future splits, filling positions if needed and the overall productivity of the clan/community. Identifying potential leadership early is important. Some won't want to move higher than they are but some also do, so ask your members if they are interested in leadership. The more leaders we have, the stronger the clan/community.

Leadership Classes:

Leadership classes are back up and running! If any captain or general needs a class, please sign up on the website. If certain classes are needed at "random" times, please let your leadership know so we can work out a date/time to hold said class.

Upcoming Events:

Game with Fame featuring SYN DVS456 is coming up on March 2nd! Ask Him a question and come game with a great leader in the community on BO4! To ask a question, click the link: https://www.xiledgaming.com/forum/g...2-game-with-fame-syn-dvs456-xs-ask-a-question

Meeting Notes 03/3/19:

Section Leaders:

Design Team/Banners:

Section leaders, now that the site has been back up and not all banners are supported from the previous version of the site let's get some new banners for your clans and your leader forums. You can do this by requesting a design from the design team.

Training the next set of leadership:

So when looking at the next set of leaders in the community it is wise to take them under your wing and train them as we are progressing in the clan. This should be happening daily whether its pulling them in to help with issues or having them run meetings. You can't move up if they are not ready to move up and you might need to go on vacation or have other personal issues and these people should be ready to watch clans as well. It is your job as section leaders to make sure training of Captains and generals. Classes are for basic website information and knowledge, true training comes form you and is your responsibility. Always have the "Next man/woman" mentality! Rather than focusing on "clan size" we should be focusing on strong leadership going forward. Quality over quantity goes with leadership as well as recruits.

Clan list and squad list:

Clan list and squad list should be done by 1st and 15th of each month. This is improving a lot through all clans and divisions, one thing that is missing is that generals and captains are just editing old list instead of posting new list when due. This should not be happening. General and captains should post new list every time they are due and only editing in times in between each due date and old clan list and squad lists should be deleted by general or xs as they grow with amount of post in channels.

Help desk processes:

Name changes should be getting done using the name change template, not just posting name changes. There are a lot of requests coming in that we don't know what the users old name or new name is gonna be and requests are getting denied. Add and remove request should have the prefixes being added as well whether they are adds or removals so we know as well as if the people are not on clan list or registered on site we should not be posting the request. This helps so requests are not denied. Update clan requests, please use templates as well. If you can highlight what is changing in the request in a different color so we know what is changing.

Weekly note ideas:

There is a topic under the XS Weekly Notes that we encourage you as Section Leaders to post in so you can have an input when notes are written. This is where we can incorporate things that are relevant to your sections rather than a broad spectrum notes. You all see and deal with clans on a daily basis, therefor you see issues first hand, whether it be minor or major. Posting there will help your leadership to not only identify the issues but come up with solutions. This is a link to get you where this is: https://www.xiledgaming.com/forum/xi...s-weekly-notes

Communication with leadership:

XI, XC and XD's are here to help you and assist you in progressing to the next level. If there is an issue in your section/clan we encourage you to come to us and allow us to help. We can't fix things is we don't even know there is an issue. This ties into being proactive rather than reactive. If you see an issue, bring it up to a leader opposed to waiting until we are losing members and/or clans. These things can be fixed but we can't fix them unless we are aware beforehand. Don't be afraid to use the open door policy.

Clan Spits:

All potential clan splits should be posted in your XS's forum page before being posted on the help desk. This will give the general and section leader time to look over and tweak the necessary things needed to make the split go smoothly without cluttering the help desk. Once the needed changes are made, submit a clan split request on the help desk to be finalized. We encourage you and your generals when getting close to a clan split to post in their XS's forum so it's there and it can be worked on as a team instead of holding back until it's correct. This will require section leaders to create a new topic in their forums titled "Clan Splits" to be posted on by only the generals. (XS's please go over this with your generals to make sure they all understand.)

Generals:

Fair Play:

All members that participate in any match will display a professional gaming demeanor. All members should observe the rules of Fair Play, Sportsmanship, and Respect. As a member of XG, you not only represent yourself but the community as a whole. At the end of the day this a game that we get on and have fun.

Inactives:

You should be going through your inactive members at least once a month and not wait until you have a lot of inactives to remove. This helps keep your clan list and user group stay up to date, so when it comes down to doing a squad split or clan split there should be no problems.

Clan list and squad list:

This is improving a lot through all clans and divisions, one thing that is missing is that generals and captains are just editing old list instead of posting new list when due. This should not be happening. General and captains should post new list every time they are due and only editing in times in between each due date and old clan list and squad lists should be deleted by general or xs as they grow with amount of post in channels.

Leadership Classes:

Regarding Captain and General's classes, if you require a class at specific times, please message your section leader with the times requested so we can set them up.

Generals:

All Sergeants are equal, none are above any other sergeants in the community. The applies to all ranks. We have a Rank Structure in place for a reason. Recruit, Private, Sergeant, Lieutenant, Captain, General, Section Leader, Division Leader, Community Leader & Council are the only ranks we recognize in Xiled Gaming as a whole. Also from the rank of Lieutenant through council we are known as “Leaders”, not “Officers”. Make sure this is known across the boards that we will not recognize the term Officer or any unofficial form of Rank in the community.

Reading In Recruits:

The general has the discretion to determine what members are able to read in new members based on their training. Training should prepare the member to be able to familiarize the recruit with Xiled Gaming (Honor Code, Rank Structure, Division Age Requirements/Gamer Style, etc.), their clan and the process for registering on the website.

Help Desk Refresh

When posting threads in the help desk, there are a few things to keep in mind for each section of the help desk.
Request Login Name Change
Members must post their own login name changes in this forum.
1. If it is a name change that includes XGC, KoG or SYN in front, it must be posted in the section leader's forum and approved, or the request will be denied.
2. If it is a name change without XGC, KoG or SYN, there is no approval needed.
3. Ensure that the template at the top of the forum is used or the request will be denied.
Request New, Update or Delete Clan
When posting requests, please note what is being changed either by including it in the thread title, or highlighting the specific parts that are being updated by changing the color of the text in the post. Anything that is staying the same can be marked as No Change or left blank when copying and pasting the template into the thread.
Request For Clan Member to be Added/Removed
When adding or removing members, only the general or XS is allowed to post that request, and must also follow the guidelines below. Spelling must match the name the member has registered under on the website, so make sure when new members register on the website that they spell their username the same as their gamertag to make things simple (including numbers, spaces and special characters).
1. Add requests:
a. Members must be on the clan list and be the rank of private before the add request will be completed.
b. Members cannot be in more than one clan usergroup, so if a member is being transferred from one clan to another, a removal request must be done to take them out of the clan they are transferring out of first.
2. Removal requests:
a. When doing a removal, be as detailed as possible about the reason, such as transferring to another clan, left the community due to personal reasons, inactivity, etc. This helps the research team when members try to come back and whether or not a Grass Wasn't Greener application is required or not.

Training Tools-

Other than on-the-job training and rank specific classes, do you know where to find other training material to assist you as you strive to be a better leader in XILED Gaming? On the website under the Leadership Development Team forum is the Leadership Tools sub-forum. https://www.xiledgaming.com/forum/xi...adership-tools. In this forum there are threads that provide useful information for privates through XDs. There are threads on basic info everyone should know about the community, recruiting, splitting clans, micromanaging, running a clan, so you want to be a section leader, and many more. Some of these articles were written when the community was founded and they stand the test of time, as the core of the information is as relevant today as it was then. However, I would caution that there have been changes in the community, so make sure that you ask questions about anything that is different than what you have heard recently.

Another great place to find information (for generals and above) to help you be an effective leader is in the XG Bible, https://www.xiledgaming.com/forum/xi...d-gaming-bible. This is also the area where you go to post any questions you may have about any procedural issue. The questions posted are reviewed and answered by the XC/XIs. So as a general or higher, if you have a question about why something is done the way it is or if you need clarification on an issue, first look in the previous bible post to see if the topic has been addressed, then, if it has not, post your question there. It is recommended that each general reads all of the bible entries, then check back frequently to see if anything new has been posted.

Take sometime to review both of these area and you will find a great amount of information that is going to make you a better leader and to be better prepared to run you clan successfully.

Clan Forum Subscriptions-
Members should be able to subscribe to their clan forums in the next couple of hours. Subscribing to the clans forum will provide a notification each time is a made in that forum.
Trending:

We would like to remind members who navigate the website, about the trending channel and the way it works. This feature operates based on "likes." We want to encourage members to like posts that are important to them or useful and gain the popularity that they deserve.

Discord Communication:

Discord Gen-XS and Gen-XI chats have been added to the XIled Gaming Leaders server. The purpose of creating these channels is to provide another way for communication throughout XG's leadership. The chats are for you, as the general/XS to use whenever you have a question, suggestion, idea, etc. You are encouraged to bring up and speak freely about any issues or questions presented in said chats. These chats will also provide you with an opportunity to get to know more of your peers and the other leaders in the community, and help you lay the network foundation as you continue to grow in leadership. We strongly encourage ALL generals to join the chats. If they aren't sure how, please hit up your XS or an XD and we will make sure they're added.

The XG Discord server is the only official XG server, any secondary discord servers such as a section Discord, or a clan specific Discord, are not policed or monitored by leadership other than the owner and moderators in that server. All issues that arise will need to be handled yourself. Additionally, game boards and other channels that already exist within the Xiled Gaming official server should not be duplicated within other servers to encourage all members to utilize the official XG Discord.

Clan/Squad Lists:

Clan and squad list are to be re-posted by the first and fifteenth of each month. Please remember to go through the forums shortly thereafter and delete old posts to keep the forums clean and easier to navigate and read.

Professionalism:

Remember while being a member of Xiled Gaming you are expected to uphold a professional gaming demeanor at all times. There is no reason to be yelling at other members, messaging in all caps or trash talking other members in the community. We are all here for the same reason, to have a group of people that we enjoy gaming with every day. Remember the golden rule: treat others how you want to be treated.

Generals and Squad meetings:

Generals, it is your responsibility to communicate to your Captains that they need to run the Clan meeting if you are unable to, and it is also your responsibility to run a Captain's squad meeting if they are unable to hold it as well. If you cannot make the weekly mandatory Generals meeting you must inform your Captains so that one of them may take your place to receive the notes for the week.

Returning Members:

When anyone approaches you about returning from inactivity, or returning from leaving the community, you must research their story prior to adding them back into a clan usergroup. Check for the removal request to see what was stated, if there isn't a removal request please verify with a higher up on if the member needs to post a Grass Wasn't Greener application or not. Generals, please ensure that members who are still pending in the Grass Wasn't Greener are not being added to your clan list or usergroup until their application is approved.
Clan and Squad List Updates:

Generals you must ensure that you are posting your clan list before the 1st and 15th of each month in a timely manner. This must be a reply to the thread, not editing their post. Posting the list up to 3 days prior is acceptable, rather than posting late. If you know you'll be out of town or unavailable when it's due, it is better to be early than late. Also take care to remind your Captain(s) that their Squad lists are also due by these dates as well and that they must update them in a timely manner too, if they do not post their squad list on time it is your responsibility to post the squad list for them.

Recommendations for Promotion:

Although there are requirements that need to be met in order for someone to be considered for promotion, there are other things for you to consider when you are recommending said person for promotion. We're not saying they need to be absolutely perfect, as nothing ever is, but they should be set up for success by you. Do everything you can to ensure their success. Your job does not stop when your prospect has been promoted. Help them, give advice, and train them to be successful! They are the product of your leadership training, and should be treated as such. Also, look for the "it" factor in your leaders. There are people who make their it factor known without even realizing it and there are others who have no idea what their it factor is. Help them find it if this is the case!

Clan Activities

There is nothing worse than a clan that recruits members and then does nothing with them. As the General you run the clan, so it is your responsibility to ensure your clan is active and gaming together. Plan and schedule different events your members can participate in. The more you provide for your clan the better your clan will be.

Clan matches against other clans are another way to have your members participate and meet others throughout the community, as well as matches against the X-Team or the King of the Kill competition hosted by XGC Tantaliz XC.

Making Tough Decisions

If you are in XG leadership, there will come a time when you will have to make a tough decision for the betterment of the clan. That decision could be whether to demote someone, transfer someone, remove someone from the community or various other issues. There are a number of tools to help you with this decision and you should utilize each as the situation warrants. There are the rank structure, promotion requirements, and clan structure that you can use to determine if someone is doing the job that they voluntarily accepted. These should be used in the training of future leadership and also to hold them accountable for the position. You also have your peers and the leadership of XG (use your chain of command first) that you can discuss any issue with to assist you in your decision making, along with the XG Bible. Sometime the toughest decision can be to have that initial conversation when things are not going in the right direction. As the leader of the section/clan, you have to be proactive to make sure that the well being of the other members are not negatively effected due to the actions, or lack thereof, of someone that you need to have a conversation with. Do not let an issue linger until the options are limited to the most extreme choice. Take initiative, have a conversation of what the expectations are, what the job requirements are, and what is expected from that person, and from there, your choices will be greatly improved.

Section Wars:

Clan wars are being discussed going community wide. Hopefully with the relaunch of Pwnzone. A big congratulations to SYN Blurry XS and his section for winning SYN Section Wars this weekend. We want to put some fun competitive games back into what the community started on many years ago. Spoiler alert: clans play clan matches.

Generals:

Transfers:

Reiterate the guidelines on how they are done and by whom. XS to XS, NOT XS to Gen, Gen to Gen etc. Lack of knowledge or laziness can lead to issues with the leadership both above and below us.

Teamwork and Communication:

We are all supposed to be a team, but teams can't work together if there is no communication. So, if an issue arises between peers and you choose to brush it under the rug but hold on to the resentment then it creates friction. Without communication there is no teamwork. There can't be one without the other, these two things both go hand in hand.

Modding/Manipulation of game play:

Section VIII of the Honor Code goes over manipulation of online play as in gaining an unfair advantage in online play as well as other stuff, please keep your members informed that using a special controllers or XIM adaptor to use mouse and keyboard (on a game that doesn't natively support it, which is damn near every games on Xbox) is against our honor code. They also have mod packs that attach to the back of the controller which allow for rapid fire that they sell at Walmart which isn't allowed either.

Issues:

Once again a reminder that clans need to keep there issues within there clan to themselves. DO NOT take your clans problems to someone else's clan! This only causes extra drama that is not needed.

Building your leadership pipeline

For your clan, and the community as a whole, to be able to have positive growth, we need to have a leadership development plan in place, which we do. Most people probably think that this training starts at the captain level when the first "leadership" class is offered; however, if everyone is following the rank responsibilities, promotion requirements, and clan structure guidelines, you will notice that the leadership development starts from the rank of private. Below are two of the Private's responsibilities from the rank structure:

#2. Learn, understand, and follow the Honor Code.
#3. Learn, understand, and follow the rank structure and chain of command.

Notice the words learn and understand are used and not just be able to locate and read. So it is more than just knowing where to find the Honor Code and Rank Structure and be able to read them to a new recruit, but there is a responsibility to have knowledge regarding them.

So how are they to get that knowledge? The number one priority of Generals and Captains is to get recruits and privates to the rank of sergeant. That means more than making sure they get promoted after their two weeks at private. It means that leadership development begins at this level by providing the foundation of knowledge that every member needs to understand what sets Xiled Gaming apart from every other gaming community, the Honor Code, and what their responsibilities are to be a part of this community, the Rank Structure. You can accomplish the training during your clan and/or squad meetings. It is as easy as taking one article of the Honor Code or one rank responsibility to discuss at a meeting. Also, make sure that you are going over the rank responsibilities prior to each promotion.

Establishing a system of providing this information will start to establish your leadership pipeline. Members tend to be more active and will want to move up the ranks more once they understand the foundation of our community and what is expected of them. You do not want to have a gap in your pipeline due to no one being prepared or trained, just as you do not want your leadership pipeline to be clogged because someone is promoted to a higher position without having the basic knowledge required for the rank. This is not preparing them for success and will cause harm to the clan.

Being Inspirational:

Over time in leadership, your members should feel comfortable in coming to you for guidance. Consistency and being reliable is vital to helping that guidance and growth. These are fundamentals that will ensure the trust and security of your leaders and their confidence. Inspiring confidence means honoring commitments and doing the things you say you will do. But it's easy to lose that confidence with small actions and decisions that cause people to lose that trust. There are many ways to support you members by being an inspiration to them. Increasing your Generals' morale by showing enthusiasm for success and praising accomplishments are some of the best and easiest things to do that will continue to motivate them to want to strive for success.

Leadership Definition:

The definition of a leader is to first be a follower. You cannot expect someone to follow you, if you do not know what it is to follow yourself.

A leader simply persuades others to follow them.. Having said this, in order for someone to want to follow you, they must see you have empathy for them and their peers. You do not have to buy into the whole of your surroundings, but to share empathy to those who you lead, goes a long way.

Do not lead by the saying: do as I say and not as I do. Take charge and show those who you are leading that you are willing to get your feet wet also. To many leaders/managers fail because they walk one way, yet tell there followers to walk another way. It is up to you as the leader of the team to set the goals, formulate a plan of action, and motivate the team towards that goal. In doing so, you have to be willing to work along side of the team throughout the full process.

DNR LIST

Only members that are removed for serious breaches of the Honor Code or are a threat to the community need to be put on this list. It is the general and section leader’s responsibility to make sure that names are added to the list when needed (make sure to spell the name correctly). You also need to put the reason why they are being added to the DNR List. If someone leaves for a personal reason, they are not put on this list and you should not spam out a message stating why they left. These are not threats to the community but they will still need to post an application in the Grass Wasn’t Greener forum if they wish to return. If possible, we should try to get people to step down from their leadership position if they hold one rather than leaving the community altogether. Bottom line: life happens and people need a break sometimes. No one should ever feel like they have to leave due to their position in the community being too stressful or taking up 100% of their online time. We PAY TO PLAY!
