Summertime / Inactivity
With the summer months approaching, this should be a good time to find some new members who have more time on their hands. Make sure we are looking to find the next quality members for XG.

This is a great time to make sure that your clan list and user group is up to date. Also, make sure that your members are communicating when they will be inactive due to trips, vacations, or any other life circumstances.

Training Future Leadership
When looking at members for potential future leadership, make sure you have prepared them to the best of your ability before their promotion. Knowing the basics of the community and what needs to be done to meet the goals and expectations of their rank will ensure the transition is smooth for them and they will step into the role with confidence. No matter how long someone has been a leader, there will always be more to learn - just because someone has been in their rank for a long amount of time doesn't mean that someone else couldn't be promoted first, if they are showing more potential and accomplishing goals that are set, they should be recognized accordingly.

Captain's User Group Requests
Please make sure that when a captain is no longer in that rank, you are removing them out of the Captain's user group. Also, if someone has been promoted to Captain, they need to be added into the user group in order to get the banner underneath their name on the website that says Captain. Before a captain is added into the user group, make sure that your clan list is updated and lists them as a captain, and that they have also already posted their own squad list, or the request will be denied.

General's Meeting Notes May 3, 2020

Clan Activity
As a General, you are expected to spend time with all members of your clan. If you are only playing with a select number of people in your clan, it's important that you recognize that and make sure you are trying to touch base with all members weekly to make sure they are good. Gaming or even just spending time with members in parties will help you to see who the potential future leaders are for your clan and give you an idea of what they need to work on in order to get to that next step.

Setting Up for Success
As General, it is your responsibility to make your clan successful, with the help of your XS. First, make sure that you and your leadership understand all ranks and the responsibilities of each one, as well as what is expected to meet those requirements. Then you need to make sure you take your General's classes, fulfill your responsibilities, while guiding and teaching your members and leadership.
If you see that your clan is struggling with activity, reach out for help if you aren't sure how to fix it. Set realistic goals that will help your clan move forward, and make sure you are holding weekly meetings as well as clan and squad game nights or activities to keep everyone involved. Being proactive instead of reactive will make your clan stronger and less likely to start going down that slippery slope of inactivity and dying.

Complacency & Time
Remember we should always be striving to better ourselves, our clan and our community. The day we grow complacent, is the day we start to move backwards. Keep going forwards! Time is limited, so choose what you want to do with it. Do you want to sit around and do nothing? Or make the decisions that will make you happy and ensure a better future for you, the clan and the community? Your destiny is in your hands.
Ask yourself and your leadership to think about this whenever they are on the Xbox: what can I do to make Xiled Gaming better than yesterday? If that means just talking to someone and getting them more invested in the community then that helps. The more invested a member is the more they will want to put in.

Anyone who is in a leadership position needs to understand that you not only represent yourself, but the community as well. When you talk people hear it and they are going to make judgments on what you said and how you said it. Remember that there are times and places for everything. There are times that we can be the goof ball, and mess around; but there are times like in meetings, or handling issues that we need to put on that straight face and conduct business like a professional.

As a reminder, you and your Generals should be getting members registered on Clan Compete if they aren't already. This is where all clan battles, X-Team Challenges, and competitive players and teams can go to issue challenges and have some fun and friendly competitions!

Accountability

As a leader in XG, you have displayed the drive and desire to be an asset to help XG grow. However, once you reach the next level, are you holding yourself, your peers, and your clans accountable to the high standard that XG requires? Are you using the tools that are available to continue to grow the community and future leaders? Or are you taking it easy, now "that you made it?" You must hold yourself accountable to continue to grow as a leader and to uphold the ideals of XG. This is done with your day to day attitude and actions being consistent with what is expected of a leader in XG. You cannot be effective if you are only being accountable part of the time.

Communication

Many times we have discussed the importance of communication and the fact that it is the Key to Success of XG. Information needs to be shared up and down the chain of command so that everyone is working as one team to continuously improve XG. For the most part, the leaders of XG do a good job of disseminating the information, as requested. No one should have an issue sharing upcoming game nights, Game with Fame, or of a recent promotion or clan split, because this is good news.

However, as a leader in XG, you must also be able to have any "difficult" conversations when needed. If someone in a leadership position is failing short of the requirements and expectation, a conversation needs to be had to explain where they are lacking, what they need to do to correct the deficiencies, and the timeline to do so. In order to recognize when these types of conversations are needed, you must be actively engaging the leadership of your clans or sections. By being a proactive leader and being willing to have the needed conversations, your clan or section will have the leadership needed to be successful, thus making XG stronger.

Shutting Down Clans

When a clan is shut down, it is as a last resort, when everything else has been tried, but the clan is still falling apart or doesn't have the full clan structure in place. These decisions are made after a lot of thought and consideration by the leadership involved with that clan. Of course, nobody likes shutting down a clan but sometimes it is a necessary decision, and everybody should understand that. No drama should be coming from people who do not agree with the decision.

We all understand that it can be upsetting, but please know that shutting down a clan is not done with ill intent, but rather to make sure that all members are in a clan with the correct rank structure in place where they can game and have fun, and also grow as a leader if that is what they want to do. As leaders sometimes difficult choices have to be made and they should be handled with maturity and the confidence that you are making the right decision for the clan and the members within that clan.

Leadership is having the capacity to influence others through inspiration motivated by passion, generated by vision, produced by conviction, ignited by purpose.

Add and Remove Requests

When posting Add and Remove requests on the help desk, please make sure you are verifying that the person has registered on the website by using the Advanced Search bar under "Members". Do not post multiple threads for requests, if you have several people to add, simply post one thread with all the names listed who need to be added. Same with removals, if you have multiple people to remove put all the usernames into one thread but make sure to note next to each name the reason for the removal.

PRIOR to posting any add requests, the clan list has to be updated. If a member was promoted to private but is still listed as a recruit, the request will be denied and will have to be resubmitted. Same with transfers, if someone has transferred in they also need to be added to the clan list before an add request is posted.

Leadership Definition

The definition of a leader is to first be a follower. You cannot expect someone to follow you if you do not know what it is to follow yourself.

A leader simply persuades others to follow them. Having said this, in order for someone to want to follow you, they must see that you have empathy for them and their peers. You do not have to buy into the whole of your surroundings, but showing empathy to those who you lead, goes a long way.

Do not lead by the saying: do as I say and not as I do. Take charge and show those who you are leading that you are willing to get your feet wet also. Too many leaders fail because they walk one way, yet tell their followers to walk another way. It is up to you as the leader of the team to set the goals, formulate a plan of action, and motivate the team towards that goal. In doing so, you have to be willing to work alongside the team throughout the full process.

Communicating Absences

We understand that at times you will not be online for an extended period of time, whether it's due to finals, vacations, life circumstances, etc. We understand that real life should always come first. So if you know your activity will be spotty or non-existent for that time, please let your chain of command know when you are leaving, when you expect to be back, and that you have coverage in your absence.

Clan & Squad Lists

Just a reminder, clan and squad lists must be posted by 11:59pm EST tonight - if you know you won't be able to on the exact day, post it a day or two early so it isn't late. If your captain(s) don't get their squad list posted, you are responsible for posting it for them and following up to see why it wasn't done. If someone isn't performing a basic responsibility like posting and keeping their list updated, chances are they are missing other responsibilities and could be having a negative impact on their squad and on the clan as a whole.

You also need to check your clan usergroup - ask an admin if you need a new copy. Make sure people are being removed as they need to be as well as added. This also goes for the Captain's usergroup, when a captain steps down or is demoted, make sure you are posting the request to take them out of the captain's usergroup on the help desk.

Researching Situations

When anyone comes to you about a situation, make sure you are getting both sides of the story before taking any action. Taking what one person says at face value isn't fair to the other person or people involved in the situation - everybody has the right to tell their side of the story. If someone is saying something that just doesn't seem right, trust your gut and dig deeper into what they are telling you.

Remember that situations do not need to be handled right away, take your time and do your due diligence before making decisions. If you don't know how to handle the situation, ask for help - either a peer or your XS should be able to assist you. If not, use the open door policy. You aren't in this alone, we are all a team and should be assisting others whenever we can.

Leaders instill in their people a hope for success and a belief in themselves. Positive leaders empower people to accomplish their goals.

Transfer Process
Members who are wanting to transfer to a new clan must first go to their current General, not to the General or XS of the clan where they wish to transfer to. If someone comes to you for a transfer who is not currently in your clan, please direct them to their current leadership. No transfer can take place without the member reaching out to their current leadership first! If a transfer doesn't involve your clan, please do not take any steps to complete that transfer such as reaching out to the General or XS of that member, it should be the member having the conversation, not you.

Also, any transfer requests should be processed within 72 hours - if you are having any trouble getting in contact with the people you need to get ahold of, please hit up your chain of command or use the open door policy to assist with the transfer being completed in a timely manner.

Remember that we do not transfer problem children - if they are causing issues within your clan, we don't want another clan having to deal with the same issues. If someone just doesn't quite fit in with the current squad and clan, and they've found another clan where they get along with the members better, that's a perfect reason to transfer out.

Modern Warfare Regiments
Regiments for Modern Warfare are allowed - they are the same as any in-game clan within specific games. It is recommended that only leadership is in charge of the in-game regiment, if you have further questions about in-game clans please ask your chain of command or utilize the open door policy.

Holding Yourself and Leadership Accountable
As a leader in XG, you are responsible for holding yourself to the standard of your rank, as well as your Captains and LTs within your clan. When someone isn't upholding their rank responsibilities, have an honest conversation with them about what's going on and if they need more training, clarification on their responsibilities, or advice on making their squad the best it can be.

Take time to speak with everyone in your clan to learn about what their goals are within the community. That way, if someone is demoted, steps down, or leaves, you know who your next person up could be and you are prepared to move forward and keep the clan on a forward progression.

If you yourself need help understanding your responsibilities better, or just want some advice, use your peers or chain of command to ask those questions. Wanting to learn more will never be seen as a negative step to take, but rather shows that you acknowledge that you and all leaders always have room to grow and improve.

Why You Joined This Community
When you first joined the community, it was probably for many reasons - remind yourself of why you joined, and how you can continue to make other people feel that way and want to join as well. Hold your leaders to that standard so that your clans can continue to grow and be successful.

If someone is preventing that positive atmosphere from being shown to new or potential members, you need to hold them accountable and make the change(s) needed to keep people interested in joining and also to stay as members well into the future.

Usergroup Maintenance

With the release of the new site, both Section Leaders and Generals now have the ability to approve new members into the clan usergroups. Some or most of you were not around when this functionality existed on previous versions of our website. So let me cover a few expectations you may not be aware of.

1. Vetting Requests: When accepting people into your usergroup, you must first verify they are in fact members of your clan. Do not approve any requests where you do not recognize the name.
2. Usergroup Accuracy: Members can only be in one clan's usergroup (XS-XI being the only exception). Go through your usergroup and verify that it is correct by adding members that should be there, and removing those that shouldn't. This should be a regular routine. Keep in mind, your usergroup and clan list must match in order for a clan split to be approved.
3. Recruits & Usergroups: Recruits are not expected to be in the usergroup or registered. Recruits are not members of the community until promoted to the rank of private. At that point, it will become mandatory for the member to be registered as stated in the rank structure. The reason I'm mentioning this is because recruits do not always work out. If you get in the habit of accepting everyone into the usergroup it will lead to you creating more removal requests. Which is not only more work for you, but more work for the Admins as well.

DNR List
The Do Not Recruit List has been eliminated, when researching name changes please check the current members list and use the search function to make sure it isn't too close to an existing name.

Handling Issues
If an issue arises between members, they should be making an attempt to resolve it between themselves before just immediately jumping ranks or using the open door policy. If they are unable to resolve it themselves, that's when leadership needs to be involved, by following the chain of command first - if the issue is between them and another member in leadership, the next rank up would need to be contacted to help get the issue handled, but not before it is communicated properly through the chain of command first.

Helping Other Gamers
One of the benefits of being in Xiled Gaming is that there are members to help other members on games by providing tips, suggestions, and helping them through tough levels. There is no issues helping someone rank up in a game by assisting them in a level or providing them with in-game gear, as long as it is allowed by the game and no modding is occurring. We should be encouraging members to game together and to help each other.

Banner Requests
With the new upgrades to the website, the Clan Banner dimension format size has been updated from 400x75px to 200x80px. Generals if you wish to upload your own banners onto the website, as a reminder it needs to fall in the correct format as seen below.

1- Image format size must be 200x80 pixels
2- Must include clan name on the banner (ex: XGC, KoG, SYN)

We as the Design Team will be going through and editing the format sizes for Clan Banners, Leader Banners, Avatars, etc. They can be found HERE: DESIGN GUIDELINES, FORMATS, & SIZES

Most of your Clan banners cannot be retrieved from the previous website. If you know the person who created the banner, please get with them, and get the info. Or this would be a awesome time to get together with your clan members and create a banner that is custom for your clan. The Harder You Work for Something, The Greater You'll Feel When You Achieve It

Recycling Leadership

All ranks must be earned - handing somebody a leadership rank only because they have previously held a leadership rank in the past is not what you and your leaders should focus on when considering promotions. Go through their current rank responsibilities and ensure that they are already doing what is expected of them at that rank. Then take a look at the responsibilities of the next rank and evaluate whether or not you think they can handle the extra responsibilities of that rank - if you feel like they could fulfill some but not all, start working with them on those areas that they need training on.

To be clear, nobody is barred from going back into leadership after a demotion, but they need to show that they are going to uphold their rank responsibilities instead of it simply being assumed that "they've done it before so they know what they're doing." Issues which caused them to be demoted need to be addressed to ensure they don't repeat the same mistakes as before, and if you only look at members who had previous experience it becomes easy to overlook members who haven't been in leadership before, even if they are demonstrating more leadership qualities than someone who's been leadership previously.

Removal Requests / Help Desk
Please remember that usergroups should be checked at least twice a month to ensure that they match the clan list - meaning anybody who is in the usergroup who has left, transferred, or been removed for inactivity shouldn't still be in the usergroup. In order to submit a ticket for removal, you need to go to the Help Desk, then select the Usergroup Removal Request category, being sure to follow the correct format as listed, with the correct spelling of the member's name and a detailed reason for the removal. Make sure you are including any specifics that would be needed in case the member wants to return through the GWG in the future. Members removed for inactivity do not need to post a GWG and are welcome to return to any clan of their choice.

Additionally, members need to request to join the clan usergroup and should be accepted only once they reach the rank of private in order to reduce removal requests for recruits who don't stay after the 7 day recruit period.

In-Game Regiments / Clans
When creating in-game clans or regiments, it is recommended to have members of leadership in control of them in order to maintain them and keep things running smoothly. Having an in-game regiment or clan on certain games allows certain benefits and perks that can be used as a tool to help bring in new recruits and members as well, such as XP bonuses, rewards, etc. However, members are not required to be a part of an XG in-game clan or regiment unless they wish to be, they are able to be in any they choose.

Enforcing the Honor Code
As a reminder, all XG members are expected to follow their specific division honor code, which can be located here:

Using derogatory terms that target a specific race or gender are not allowed and must be handled immediately, with a warning and/or removal from the community, depending on the severity. Use of the N-Word is not allowed under any circumstances within Xiled Gaming. Make sure that you and your leaders are able to handle these situations when they arise and help to teach them if they haven't had to deal with this type of issue, or reach out to your chain of command if you need assistance.

Building A Leadership Pipeline


For your clan, you need to have a leadership development plan in place for everyone to be successful and achieving their goals. Some might think that training doesn't happen until someone has reached the rank of lieutenant (first leadership rank), but if you take a look at the rank structure under rank responsibilities, you'll actually find that learning and training starts at the rank of private. See the below rank responsibilities for a Private.

#2. Learn, understand, and follow the Honor Code.
#3. Learn, understand, and follow the rank structure and chain of command.


Notice the words learn and understand are used, not just locate and read, as it is more than just knowing where to find these items on the website, it's about explaining our rules and guidelines in a way that each individual member understands.

So how are they to get that knowledge? The number one priority of Generals and Captains is to get recruits and privates to the rank of sergeant. That means more than simply promoting members just because they spent their two weeks at private. It means that leadership development begins at this level by providing the foundation of knowledge that every member needs to understand. Specifically, Xiled Gaming's Four Main Components or Pillars which set us apart from every other gaming community, which include the Honor Code, Rank Structure, Promotion Requirements, and Clan Structure. Training can be done in many different ways, from covering information in clan meetings, to one on one training with members throughout the week - many clans cover an article of the Honor Code each week, one rank responsibility, one promotion requirement, and so on. Also, make sure that you are going fully over the rank responsibilities when doing a promotion and ensuring the member accepts them and asks any questions they may have. This will set them up for success in their new role.

Establishing a system of providing this information will start to establish your leadership pipeline. Members tend to be more active and will want to move up the ranks more once they understand the foundation of our community and what is expected of them. You do not want to have a gap in your pipeline due to no one being prepared or trained, just as you do not want your leadership pipeline to be clogged because someone is promoted to a higher position without having the basic knowledge required for the rank. This is not preparing them for success and will cause harm to the clan.

When a leader must step down due to personal life, or if someone is demoted for failing to complete their responsibilities, it shouldn't cause the clan to completely fail. If a clan is doing really well, you also need a pipeline in place to prepare for potential squad splits or a clan split, so that you have members ready to move up into the new ranks created by splitting.

Clan and Squad Lists
As a reminder, clan and squad lists are due by tomorrow, August 31st @ 11:59pm EST. You need to verify that they have been posted, do not just take your Captain's word for it - check to make sure it was done. Make sure you are deleting all old clan lists as well to keep things clean, there should only be three posts in the clan list thread - the Do Not Post In This Thread, the original clan list, and the current clan list. If you know you will be unable to post your list on time, you are able to post up to 3 days early, or let your XS know that you won't be able to get it done this time. If a captain does not post their squad list, you as General need to post their list for them and follow up as to why it was not done. Also please make sure edits are being made in between the posts on the 1st and 15th, to add any new members to the clan, remove anyone who needs to be removed, and also to ensure members who were promoted or demoted are listed in the correct rank.

Time Management

Don't overthink your position as a leader and think that you need to handle everything all at one time. Take time and sort out what is very important and what can wait. We don't want you making this feel like it's a job and getting yourself burnt out. Make sure you’re taking time to handle situations by gathering all the info that is needed, and not just jumping straight into it without knowing both sides of the story.
Take the time to look into the squads within your clan, and make sure you know what's going on instead of just taking face value of what is told to you. Some people will just tell you what they think you want to hear just so it can be "swept under the rug" and not actually deal with it. Then later down the road it could become a larger issue, instead of being handled when it’s smaller and more manageable.

Transfers
As a reminder, all transfers must be initiated by the member themselves by going to their current General, who will then go to their Section Leader to move on to the next step of the process. If someone approaches you directly who is not part of your clan, make sure you are telling them the proper way to request a transfer and directing them to the appropriate person.
Additionally, when someone requests a transfer, make sure that they are going to a clan that is a good fit for them.

Transfer Process
Members who are wanting to transfer to a new clan must first go to their current General, not to the General or XS of the clan where they wish to transfer to. If someone comes to you for a transfer who is not currently in your clan, please direct them to their current leadership. No transfer can take place without the member reaching out to their current leadership first! If a transfer doesn't involve your clan, please do not take any steps to complete that transfer such as reaching out to the General or XS of that member, it should be the member having the conversation, not you.
Also, any transfer requests should be processed within 72 hours - if you are having any trouble getting in contact with the people you need to get ahold of, please hit up your chain of command or use the open door policy to assist with the transfer being completed in a timely manner.
Remember that we do not transfer problem children - if they are causing issues within your clan, we don't want another clan having to deal with the same issues. If someone just doesn't quite fit in with the current squad and clan, and they've found another clan where they get along with the members better, that's a perfect reason to transfer out.

Clan Forum Moderation
Please make sure you are reaching out to your Section Leader if there is anything you need to be done moderation wise within your clan forum, if you yourself do not have moderator on the website. This means that any old squad or clan lists need to be closed and unstuck. DO NOT DELETE old clan clans or squad lists, these are clan history and should be viewable.
For clan and squad lists, there should only be three viewable posts – Do Not Post in this Thread, the original list, and the current list. All others need to be deleted.

Discord Usage
Remember that you as a General have the ability to assign roles to members when they join into your division Discord server - make sure you and leadership are getting the link out to new members and getting them assigned so all your members have access to the clan chat box and can communicate with their fellow clan members. Make sure you and your leadership are putting out clan news and announcements as needed, as well as using the leadership channel. Communication is the key to success!

Holding Leadership Accountable
As a General, you must hold your Captains and Lieutenants to their responsibilities as listed in the rank structure - making sure you are calling them out for what they are doing well and what they need to improve on. This includes making sure that your leaders are on top of holding squad meetings and game nights every week, and looking at their online activity - specifically on if they are playing with their squad members to ensure no member is left behind. This in turn is a part of your responsibilities as a General, to ensure your clan is developing and progressing as it should, instead of staying stagnant or declining. This means making sure that everyone is doing their jobs as detailed in the rank responsibilities and rank structure.
If someone is missing and not completing a couple of responsibilities, talk to them early - see what's causing them to complete some things and not others. If you head it off at the pass before it gets really bad, you more than often will be able to prevent your clan from going stagnant or eventually dying, but if you don't talk to them early you'll have a much bigger issue on your hands. Being proactive instead of reactive will make things easier on both you and the leadership within the clan.
That being said, when someone is having issues and not fulfilling those responsibilities, you have an obligation to talk to that leader and tell them - not just deciding after a few weeks that it isn't working, without trying to help them turn it around.

Name Changes
When members want to change their name to add KoG, SYN, or XGC in the front, please make sure they are aware that they need to get approval before simply changing their name. Their current Section Leader needs to approve the name and then they should be changing it on the website prior to changing it on Xbox.
As an XS, there are two key things you need to check before approving gamertags.
1. Clan Names - if someone is asking for a gamertag but it is the name of a clan in any of the three divisions, it cannot be approved.
2. Current Members - if someone currently has a gamertag that is the same, or similar, to someone who has been active within the last (3) years, the name cannot be approved. This can be checked through the website under "Members" as well as the regular search function. If you need help, ask before approving something to avoid multiple members having the same gamertag.

Poaching
Within Xiled Gaming, we have a specific definition when it comes to poaching.
If you feel poaching is happening or you experience it first hand, please deal with it immediately and ask for help if you need it.
1. Actively recruiting members of another community.
2. Targeting members of a specific clan to cause issues.
3. Offering promotions for recruitment into that said clan.
When it comes to recruits who are within their 7-day recruitment period, they are able to go to any clan they would like - use the golden rule and treat others how you would like to be treated, and let the recruit go to where they want.

Decisions - Long & Short Term Effects
When you and your leaders make decisions, it's important to evaluate the short-term and long-term impact of those decisions. If you make a decision that will fix something short-term but will have a negative effect in the long-term, you need to decide if that's truly the right thing to do. Demoting someone who isn't fulfilling their responsibilities might have a short-term negative effect, but in the long-term it will be better for the clan because people won't see someone staying in a leadership rank who doesn't deserve to hold it which will have a long-term positive effect.

Effective Communication
As a Section Leader, you should be able to clearly explain and answer frequently asked questions. If you don't know the answer, let them know that you will look into it and find out instead of saying that you don't know outright. Make sure you remain calm and collected while being professional during those conversations. Make sure you know the facts before presenting the final answer, instead of answering incorrectly and having to correct it later.

Running a Successful Clan
For you and your Generals, there are a few key things that all successful clans need to do. If these aren't happening, it is your responsibility to get the clan back on track and doing these things.
1. Holding Clan Meetings & Game Nights weekly
2. Running Squad Meetings & Game Nights weekly
3. Handling issues within 48 hours of them arising to ensure drama is not happening within clans - using peers for support to do so as needed.
4. Ask members for feedback constantly to see what they would like to be different within the clan, to try to always improve and not stay complacent.
5. Play with all members and ensure nobody is left behind.
We do NOT tell people who they can play and be in parties with. All of our members pay for their own Xbox Live subscriptions, so it isn't right to tell them who they can play and talk to.

Username Changes
As a reminder, after your XS has approved a gamertag, the member needs to request to have it updated on the website before changing it on the Xbox.
In order to submit a name change request, the member simply needs to click or press their name in the top right corner of the site, and then choose Username Change.

Leadership Growth & Development
Development of leadership abilities should always be a high priority for you, leadership, and all clans. Thinking about how you communicate and speak to all members is crucial, as well as always conducting ourselves in a professional manner. Stay calm when handling situations. Gaining respect of members will go a long way, especially when looking out for potential future leaders and keeping your clan successful. Constantly learning, whether it's from your peers, your direct leadership, or non-leadership members is crucial. Asking for advice is key in growing yourself and keeping yourself motivated and driven to do the best you can do, which sometimes is simply knowing how and when to ask for help.

A good leader never allows complacency to take hold - stay on top of your game always, including making decisions in a timely manner. That will set you and your clan up for success and be a good example to up and coming leaders who rely on you and your guidance. Make sure you are finding the balance between being involved, but also allowing your leaders to handle things within their capabilities as much as possible to allow them to grow and thrive. Even when they make mistakes, it's a part of the learning experience that oftentimes helps them to grow better, while also making sure that the same mistake isn't made twice.

Think outside the box and don't be afraid to try new ideas to see if they work, and encourage members to bring up their ideas for how to make the clan better. By setting up future leaders for success you'll make things easier for everyone, including yourself - let them find their own style of leadership and help them whenever possible, and don't be afraid of change as it is something that will always happen as times change and we have to adapt.

Winter is Coming
Busy season is coming for XGC. Between cooler weather and game/console drops, activity will be picking up. It is also going to open up the door for plenty of potential recruits. Let's make sure that we are not locked away into parties and missing out on future stepping stones of the community. Let's also make sure that as transitions are being made to the new games that we are not leaving some of our members behind on our previous main games.

Suggestions & Ideas
All leaders need to be open to hearing criticism as well as ideas and suggestions - there might be something that members consider an issue that we aren't aware of, and the only way we will know is by listening when someone brings it up. It also offers us an opportunity to look at the way we are currently doing something and evaluate if it's the best way to do that, or if we can take that feedback and improve what we are doing. It also can be an opportunity to educate someone who hasn't been properly trained or has been misinformed as a way to get them on the same page. Embracing new ideas can help your clan to stay strong and have an environment where members thrive and feel welcomed.

As always, bring ideas and thoughts up the chain of command and use the open door policy as needed - the only stupid question is the one that's never asked!

The Honor Code is the foundation of Xiled Gaming whether you are part of SYN, KoG, XGC, or XGG. We all agreed to follow the honor code as well as what sets us apart from other clans and communities - our Rank Structure, Promotion Requirements, and Clan Structure. These are accompanied by communication, which is always the key to success, and the three Core Values of Xiled Gaming, this gives us an unbreakable foundation to stand upon. This will help prepare the pipeline of future leaders and also reinforce the reasons why XG is successful.

Recruitment Process
When recruiting, remember there is no need to fill a quota, your main goal as a recruiter should be quality before quantity. Meaning we want the quality recruits, because they will become a quality member. Quality recruits will also ensure a quality gaming atmosphere within the clan and community. This quality atmosphere is what XG was founded to create. This brings up the point of the what qualities a gamer must possess.
XG sees a quality gamer as someone who possesses:
- Sportsmanship
- Respect
- Fair Play

Several things are going to need to be covered when reading a recruit in, these things include:
- The Honor Code
- The Rank Structure
- Registering on xiledgaming.com as well as clancompete.com
- When registering on the website, username should match their Gamer Tag
- Meeting and practice times
- Who the General and XS are

Be the Leader Your Members Deserve on All Levels:
Get to know your leaders. Each leader has different personalities, perspectives, drive, and special needs. We must know our leaders on a personal level to properly evaluate what they need in order to grow as a leader. This may require more then just the normal conversation on Sundays or a meeting during the week. We should be gaming with our leaders, because there is so much you can find out about a person from listening to how they react in game settings. The key is to get close to your leadership but you also must set boundaries so you don't get emotionally involved. Once we figure out what drives the leaders, what their leadership goals are, as well as their strengths, and their personality, then we can make a game plan for each individual leader to ensure the utmost success.

Meetings
Section Leaders should be helping their Generals and making sure the topics are understood in case of any questions that may arise, and all topics being conveyed in meetings. Don't pick and choose what you want to cover, cover everything that pertains to members, and add clan specific information as well.

For each clan meeting, make sure that you are including some sort of training information - examples would include:
1. An article from the Honor Code
2. Something from the rank structure, clan structure, or promotion requirements
3. Core Values
4. Anything else to help train members/leadership

The goal of this would be to help prepare the leadership pipeline and make sure people are aware of all XG policies and rules, and will help the clan and community be successful.

Generals should be having conversations about the notes, not just reading verbatim, meetings are a great opportunity to have a captain or lieutenant lead the discussion as well, to make sure they know what they are going over and stimulate participation of the group.

Sensitive Information
As XG Leaders, we need to remind our members that while we don't control who you play or talk to, we do ask that you don't discuss clan business in front of people who don't need to hear it. If people are asking you questions about what's going on in a specific clan, division, or with specific leaders, let them know that you aren't comfortable discussing that with them.

When it comes to people asking general questions of course that's fine, but information that is for leadership within the community only can't be discussed with lower-ranking members or people outside of the community. For clarification and questions, please hit up your chain of command.

PROFESSIONALISM
When dealing with members in any setting within XG, Professionalism is always a key to getting across the points of interest within the conversation that is happening. Raising your voice, insulting others, and refusing to listen to all points of view, will cause drama and will not be productive to the conversation or any situation.

THE HONOR CODE
In Article 6 of the Honor code it states that:
XG members CANNOT be apart of any other gaming communities/clans! Any and all gamer tags must be either in XG clans or in none at all. XG does NOT have ANY alliances with other gaming communities/clans! XG will remain friendly and professional with ALL gaming communities at all times! ZERO TOLERANCE! If a XG member leaves, they are NOT allowed back. In the event of a member wanting to come back, each situation will be looked at by the COUNCIL/Division Leaders on a case-by-case basis.

LEADERSHIP CLASSES
Leadership classes are open to limited spots, Those spots are reserved for members that need the course. If you are looking to sit in on the class message the teacher they let you know the availability

PROMOTION REQUIREMENTS
NO Promotion is just given for meeting the time requirements. Promotions must be earned by fulfilling all the responsibilities of each rank. Promotions are not asked for they are earned. Because you have been in your position for a long time doesn't not guarantee you a promotion. If you have completed these requirements please speak with a leader. If you are not maintaining the requirements of your position please understand you are hurting your clan, the community and your friends. If this happens you will be relieved of your leadership position. It isn't personal. We can't have inactive or ineffective leaders hold back what our members need. please review the promotion requirements with the link provided.

Honor Code Section VII


Violation of the Honor Code will earn a Gamer a warning; two warnings and you will be banned from the community. Members caught purposely cheating and/or participating in manipulated online play will be immediately banned. No exceptions!

Religion & Politics
We are an online gaming community, meaning that we are here to game, not to talk about subjects such as religion and politics. Talking about these topics are deeply personal to each person, and talking about them can cause huge issues between clan members and even members in different sections or divisions, and have even caused clans to completely fall apart. Keep in mind that these topics should not be brought up between members and any discussions about these topics are very sensitive, so it's best to completely avoid discussions about them at all.

Official Communication
Official XG Communication should only take place on:
1. Xiled Gaming Website
2. Xbox Party Chat or Messages
3. Official XG Discord Servers

Creating Facebook groups, Discord servers, Kik chats, or anything else that is used to discuss clan business or Xiled Gaming topics besides the three official forms of communication will cost you your rank and possible membership in XG. This DOES NOT include chats or Discord servers for non-XG related topics, such as streaming Discords or official game Discord servers - if you need clarification, hit up your chain of command.

Discord is not mandatory for any ranks other than XS-XI, but is highly encouraged as a way to keep on touch with and meet other members who play the same games.

Sensitive Information
When speaking about information with leadership that is sensitive, whether over a party or in messages, make sure that this information isn't being brought up around members that it doesn't pertain to. This can be regarding promotions, demotions, warnings, etc. If a leader is spreading information around to members that it shouldn't be discussed with, disciplinary action will be taken which can include demotion or even removal from the community.

Working with Peers
To be successful as a group of leaders, we have to work together as a team. You have to be a strong enough leader to be able to put petty differences aside to work for the betterment of the whole team. There is no room for condescending remarks or attitudes when a peer comes to you for help. All leaders have had different experiences and have advice or perspectives to offer for specific situations or know how to answer a question that you might not know. Be willing to listen to ideas or perspectives, because it's hard for one person to consider all options and ideas by themselves. Make yourself an asset to anyone you can help when they are dealing with a situation they haven't had to previously.

Examples:
1. Clan is struggling and is rebuilding - offer advice or support so that person or clan doesn't feel like they are alone and that people have their back.
2. A clan struggles with recruiting new members, while your clan steadily brings in recruits on a regular basis. Tell them your tactics and even team up and go recruiting together to help them become more comfortable and also show them different ways that they hadn't tried.
3. Someone new has been promoted that was previously under you - be there to listen to their questions and offer advice to them as they become accustomed to their new rank, continue building that mentor/protégé relationship that you have already established.

Members and leaders are welcome to host clan game nights, squad game nights, or even section game nights, but community wide events must be hosted by members of the official Events Team. Please be considerate that if a game night is already taking place on a night when someone else is doing an unofficial game night, it can pull people away from the opportunity of meeting other members across the community. If you have questions about the Events Team, please hit up either XGC Buffy XD or SYN JAChelle XS on Xbox.

Generals Meeting Notes for December 6, 2020

Leaders become great not because of power but their ability to empower others

Stream Advertisement
The XG Community Discord will now offer stream promotion and all things stream related. Follow for following, stream help, and stream suggestions. The point of this is for members to help new streamers, bring each other closer by being able to interact with members via stream and support each other's stream dream(s).

Cross-Platform Good News
We will be adding areas in the XG Discord for PlayStation gamers. This will include a place to share Activision IDs so PlayStation gamers can cross-play and be apart of our community. They can utilize discord chats to communicate in-game or in-game lobby. The only requirement is that discord is used for these gamers. Them having the Xbox app is not required. If there is another game (PubG, Fortnite, rocket league, etc.) that needs to have these places created for such communication we will make those as well. There are no plans to make clans specific for PlayStation gamers. We are a gaming community and not specific to Xbox.

Clan & Squad Meetings
With Xiled Gaming welcoming gamers from PlayStation and PC, clan and squad meetings can be held from the clan voice chat in the respective XG Divisional Discord as needed. It is not required to hold meetings via Discord, if you are able to hold meetings over Xbox and that is working for you then continue to do so, just know that it is an option to use Discord if needed. We will be adding areas for PC gamers in the XG Community Discord. These areas will offer a place for PC gamers to share Steam usernames, as well as areas for gamers to share the appropriate IDs so members can find people to play PC games with.

We will have game lobbies on discord for these games that will allow members to communicate on Discord if they choose to. The point of these changes is making the Xiled Gaming Discord open for everyone and to bring gamers together regardless of the platform they game on. We will be able to bring in new members and bring our current members together to play games across all platforms. We encourage all members to participate and share in these areas.

Make sure you are sending it to your leaders so they can join and be part of the Gen-XI chat as well as the Gen-XS chat for your division (KoG, SYN or XGC).

Additionally, Generals and above have the ability to assign roles to members when they join - make sure they are getting the link out to new members and getting them assigned so all members have access to their clan chat box and can communicate with their fellow clan members. Make sure leadership are putting out clan news and announcements as needed, as well as using the leadership channel. Communication is the key to success!

Clan Structure
The goal of the CLAN STRUCTURE is to create smaller, tighter, stronger more personal clans. A clan is a group of friends who gets on to play together. Think for a minute, when you turn on your console who are you looking for first? The people you look for or text before you turn on your console, those are your clan members.

Gone are the days of big clans. Gone are the days of dragging butt to get your clan split. Gone are the days of waiting for promotion. Do what's required for promotion, do what's required to split and it's going to happen. If it doesn't go straight to an XC or XI.

With XG being in so many games and having members on so many platforms we MUST execute our clan structure perfectly in order to ensure YOU as a member are playing with like minded gamers and enjoying playing with your friends.

1 General per 20-30 Members (Limit 1 per clan)
1 Captain to a minimum of 4 Members (Making this a Squad)
1 Lieutenant per Captain per squad.
There are NO amounts or ratios of sergeants or privates per clan or squad!
The proven Xiled Gaming rank structure will be followed exactly how it is written!
All recruits must be introduced to their squad members and get to know them for the first seven days in the squad. Recruits must be put into squads with members who play similar games and on similar consoles. If a member of a squad switches games or consoles they must be transferred to a different squad or clan if necessary. These transfers will be approved by your section leader.
